About The Position

TETRA Hotel, Autograph Collection, is Silicon Valley’s only AAA Four Diamond Marriott property. Opened in 2022, we bring a refined, design-forward approach to hospitality—offering guests an immersive, serene experience infused with the creative energy of the Valley. Located on a dynamic campus alongside AC Hotel Sunnyvale Moffett Park, we are home to 350 rooms, distinct culinary venues, artfully curated social spaces, and a reputation for elevating the guest journey at every turn. We’re seeking a Sales Coordinator who is organized, proactive, and detail-driven—a professional who takes pride in supporting the Sales and Catering team to create exceptional guest experiences.

Requirements

  • Have a polished, professional demeanor and thrive in a fast-paced, detail-focused environment.
  • Communicate clearly and confidently—both written and verbal.
  • Are highly organized, tech-savvy, and proficient in MS Office.
  • Take initiative and demonstrate flexibility and professionalism under pressure.
  • Bring at least 2 years of experience in sales or catering coordination, ideally in a luxury hospitality setting.
  • Hold a college diploma (Hospitality preferred).
  • Are willing to work extended hours, weekends, or holidays to accommodate client needs.

Nice To Haves

  • experience with Marriott CI/TY and Lightspeed is a plus.

Responsibilities

  • Partner closely with the Director of Sales & Catering to support property-level sales operations.
  • Build and manage group room blocks in Marriott CI/TY and Lightspeed.
  • Enter group rooming lists and individual reservations as needed.
  • Ensure billing information for reservations, groups, and Master Accounts is accurate.
  • Prepare and send sales correspondence, proposals, agreements, and Banquet Event Orders (BEOs).
  • Respond promptly to client requests and maintain accurate account information.
  • Assist with event planning, site preparation, and on-site coordination to ensure flawless execution.
  • Liaise with other departments to guarantee client needs are met or exceeded.
  • Participate in weekly BEO meetings and communicate changes to culinary and operations teams.
  • Provide event recaps and suggest improvements for future events.
  • Support re-booking efforts and maintain strong client relationships.
