About The Position

The Call Center Representative is responsible for answering and directing telephone calls, scheduling appointments, answering inquiries and questions, troubleshooting problems, and providing excellent customer service while maintaining confidentiality. This role is crucial in ensuring smooth communication within the health center and with patients.

Requirements

  • High School Diploma or Equivalent
  • Good typing skills and computer working knowledge.
  • Knowledge of ten-key machine.
  • Ability to use routine office equipment, phone, copier, etc.
  • Ability to handle confidential and sensitive information.
  • Ability to communicate effectively on the telephone.
  • Excellence in public relations and communication skills.
  • Excellent organizational skills.
  • Ability to work in a multi-tasked environment.
  • Ability to understand verbal information and instruction.
  • Ability to exchange verbal information.
  • Ability to present information verbally.
  • Ability to read and understand written materials.
  • Ability to compose information and instruction in written form.
  • Ability to memorize.
  • Ability for reason mathematically.
  • Analytical and problem-solving skills.

Nice To Haves

  • Bilingual Preferred
  • A minimum of one year experience in a medical office preferred
  • Experience in appointment scheduling
  • Conversational Spanish preferred (may be required depending on departmental needs)

Responsibilities

  • Answer and direct telephone calls.
  • Schedule appointments.
  • Answer inquiries and questions.
  • Troubleshoot problems.
  • Provide excellent customer service.
  • Maintain confidentiality.
  • Greet callers and respond to inquiries, requests, and disputes.
  • Route calls to the appropriate department or staff.
  • Identify and escalate priority issues.
  • Accurately schedule all necessary appointments.
  • Confirm daily appointments and update demographic and insurance information.
  • Enroll new patients into the system.
  • Provide coverage on holidays and during extended hours as needed.
  • Perform general office duties such as recordkeeping, filing, copying, and scanning.
  • Process patient calls and messages through NextGen’s electronic message/tasking system.
  • Perform other duties as assigned.
