About The Position

The CAFM Asset Specialist supports enterprise facilities operations by ensuring accurate, reliable, and well‑governed asset data across CAFM/IWMS platforms. This role is key to maintaining trusted asset information that enables effective preventive maintenance, operational continuity, and data‑driven decision‑making across the organization’s-built environment. Working closely with facilities operations, engineering, IT, and campus stakeholders, the CAFM Asset Specialist manages asset lifecycle data, supports system configuration and training, and provides insights that improve asset performance and total cost of ownership, aligned with IFMA asset management principles.

Requirements

  • Degree or equivalent experience in Facilities Management, Engineering, Asset Management, Information Systems, or a related field.
  • Experience working with CAFM, IWMS, CMMS, or enterprise asset management systems in a facilities environment.
  • Working knowledge of asset lifecycle management and preventive maintenance best practices.
  • Experience supporting data governance, reporting, or operational performance initiatives.
  • Strong collaboration and communication skills across technical and operational teams.
  • Proficiency in CAFM/IWMS/CMMS platforms and Microsoft Office tools (e.g., OpenBlue, FMS).
  • Strong attention to detail with the ability to manage and analyze asset‑related data.
  • Familiarity with QR code/barcode technology for asset tracking.
  • Strong critical thinking skills and ability to work independently in a collaborative environment.

Responsibilities

  • Maintain enterprise asset inventories within CAFM/IWMS, including asset setup, classification, modification, and retirement.
  • Ensure accurate physical and digital asset identification using standards such as QR codes, barcodes, and naming conventions.
  • Configure, maintain, and align preventive maintenance schedules with performing teams and service calendars.
  • Support CAFM system users through training, documentation, and day‑to‑day assistance.
  • Perform data quality audits, validation, and governance activities to ensure system integrity.
  • Develop and maintain dashboards and reports related to asset inventory, PM compliance, and performance metrics.
  • Partner with facilities leadership to identify asset performance trends and reliability improvement opportunities.
  • Support CAFM system enhancements, templates, workflows, and asset hierarchies to promote consistency and scalability.
  • Collaborate with operations, IT, and planning teams to ensure asset data aligns with service delivery and reporting needs.
  • Monitor and maintain the Service Request system related to assets.
