About The Position

The CAEE Student Associate position is a work-study opportunity within the Fariborz Maseeh Department of Civil, Architectural and Environmental Engineering at The University of Texas at Austin. This role provides essential front office support, hands-on experience in event coordination, and serves as a first point of contact for visitors, contributing to the smooth daily operation of the department. The position involves working closely with CAEE staff, faculty, and students and is expected to continue until May 31, 2027.

Requirements

Must be a current student at the University of Texas at Austin.
Student must be in good academic standing and maintain a 3.0 GPA.
Must have a work-study award.
Proficiency with (or ability to quickly learn) basic computer programs such as Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), Google applications (Drive, Forms, Sheets), UT Box, RSVP management software (like CVENT, Asana, Qualtrics).
Professionalism and good communication skills.

Nice To Haves

Current Sophomore or Junior Level preferred.
Creative thinker, able to help brainstorm fun event themes, activities, prizes, etc.
Previous experience with event planning, front desk administration, catering coordination, food handling or customer service.
Productive self-starter, resourceful, able to multitask, able to think on their feet and be customer service oriented.
Customer service skills and event coordination interest.

Responsibilities

Assist with event day set-up/tear-down and execution (i.e., catering, registration, signage, and safety requirements) at events.
Create administrative documents such as registration lists, name tags, floorplan layouts, etc.
Serve as the first point of contact for visitors and assist with the smooth daily operation of the department.
Collect and distribute mail, maintain the coffee station, restock supplies, keep shared spaces organized, and ensure bulletin boards are up to date.
Assist in tracking departmental project progress and metrics using tools such as Asana, Qualtrics, and Excel.
Duties are likely to evolve as experience is gained within the department.
