About The Position

The Executive Council Office (ECO) provides central leadership to achieve government priorities and support for executive leadership. ECO supports the Office of the Premier, Executive Council (Cabinet) and its committees by providing strategic policy, legislative, communications and labour relations advice to support decision-making and priority setting. ECO provides leadership across government to accelerate system-level change through collaboration with departments in the areas of strategy, decision-making, policy design and operations. As the Cabinet Committee Coordinator, you will work at the centre of government in a role that directly supports the effective operation of Cabinet and Cabinet Committees. Working as part of a team, you will coordinate confidential, time-sensitive, and high-impact activities that support the Executive Council’s decision-making processes. You will work closely with the offices of Ministers, Deputy Ministers, and senior officials to coordinate Cabinet submissions, manage Treasury Board and Cabinet agenda processes, and support these meetings. Your work will help ensure Cabinet materials are accurate, complete, properly routed, and aligned with government priorities, Cabinet conventions, statutory requirements, and corporate timelines. This is a unique opportunity for a highly organized and detail-oriented professional with an interest in central government decision-making processes. This role contributes to a core government function where accuracy, discretion, systems knowledge, and sound judgment have a direct impact on the integrity, continuity, and effectiveness of Cabinet operations.

Requirements

  • A bachelor’s degree plus four (4) years of progressively responsible experience in a coordination role. An equivalent combination of training and experience may be considered.
  • Experience coordinating confidential, complex, high-volume, and time-sensitive work involving senior officials, multiple stakeholders, competing priorities, strict deadlines, and frequent changes in direction.
  • Demonstrated experience using strong analytical, conceptual, problem-solving, and decision-making skills, with the ability to assess readiness, risk, sensitivity, dependencies, and implications and recommend practical solutions in a fast-paced environment.
  • Experience exercising professionalism, tact, diplomacy, sound judgment, and discretion, when handling sensitive information.
  • Excellent organizational, time management, attention to detail, written communication, verbal communication, and relationship management skills.
  • Demonstrated proficiency and experience with Microsoft Office applications and have experience using web-based collaboration, records management, workflow tracking or information management systems to manage documents, data, access, reporting, and official records.

Nice To Haves

  • Knowledge of government structure, Executive Council conventions, legislative processes and para-legal background would be considered assets.

Responsibilities

  • Coordinate end-to-end Cabinet and Cabinet Committee meeting workflows, including submission intake, agenda preparation, meeting materials, decision records, and related communications.
  • Manage agenda and submission tracking processes to support prioritization, readiness assessment, routing for analysis, sequencing, risk identification, and timely coordination of items with statutory, policy, legal, financial, political, or cross-government implications.
  • Review departmental submissions to Cabinet and its Committees to confirm accuracy, completeness, procedural integrity, appropriate routing, and compliance with Executive Council Office standards.
  • Coordinate Cabinet and Committee meeting logistics, attendance and quorum requirements, Ministers’ absence requests, Acting Minister arrangements, e-Cabinet uploads and issue tracking.
  • Prepare and coordinate logistics and documentation for official instruments, constitutional functions, and continuity-of-government events, including Cabinet formations and transitions, swearing-in ceremonies, resignations, elections, House proceedings, and Orders in Council.
  • Administer and maintain Cabinet and Committee information systems, including FileNet, e-Cabinet, STAR/STOR, SharePoint, and related platforms, to support accurate records, reporting, user access, permissions, classification, retention, preservation, and secure filing structures.
  • Contribute to process improvement and operational continuity by championing new and improved processes, leveraging technology, identifying workflow gaps, documenting procedures, maintaining manuals and checklists, supporting peer review and onboarding, and providing functional guidance to departments on Cabinet process requirements.
