About The Position

This role supports the procurement, inventory management, and distribution of clothing and uniforms for both staff and incarcerated individuals within a secure institutional environment. It combines purchasing, vendor coordination, inventory control, and warehouse operations to ensure all required items are accurately sourced, stocked, and issued while maintaining efficient operations and compliance with established procedures.

Requirements

  • Ability to learn proprietary warehouse software (SAGE 50)
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Access, is required.
  • At least (A) two years of full-time, or equivalent part-time, professional or paraprofessional experience in purchasing work, and (B) of which at least one year must have been in a professional capacity, or (C) any equivalent combination of the required experience and the substitutions below.
  • Applicants must have no felony convictions, to include any actions defined in 5 U.S.C. 301; U.S.C. 509, 510; 42 U.S.C. 15601-15609.
  • The Massachusetts Department of Correction shall not hire anyone who may have direct contact with incarcerated individuals, who has engaged in sexual abuse in a prison or other institution as defined in 42 U.S.C. 1997; or has been convicted of engaging or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force or coercion, or if the victim did not consent or was unable to consent or refuse, or has been civilly or administratively adjudicated to have engaged in the activity described in the above paragraph.
  • The agency shall consider any incidents of sexual harassment in determining whether to hire anyone who may have contact with incarcerated individuals or residents.

Responsibilities

  • Assist in the central clothing operations that provide uniforms and clothing for all approved staff and incarcerated individuals.
  • Select product(s), prepare, and authorize purchase requisitions for clothing and uniform items as needed/required.
  • Aid in controlling, maintaining, and tracking the issuance of all stocked clothing and uniforms.
  • Support the selection of qualified vendors by collaborating with them to provide necessary product specifications for various stock items, ensuring vendor compliance with those specifications.
  • Help maintain a perpetual inventory of all stocked items using customizable inventory management database software.
  • Conduct regular physical inventories to verify the accuracy of the perpetual inventory system.
  • Maintain computerized data on issuance and usage for both institutions and specific individuals.
  • Assist in generating monthly, quarterly, and annual reports summarizing the distribution and utilization of all uniforms and clothing and providing additional customized usage reports as needed.
  • Review all submitted supply requisition requests for stock items, approving or adjusting them as necessary to ensure efficient resource distribution.
  • Coordinate assigned purchasing functions to guarantee operational efficiency and compliance with established standards.
  • Provide on-call support during non-work hours to address urgent issues or situations that may arise, ensuring continuity of operations and timely resolution of clothing and uniform needs.
  • Directly supervise incarcerated individual workers within the warehouse.
  • Lifting boxes weighing up to 50 lbs., loading and unloading trucks, picking orders, and operating equipment including a Low Lift and a High Lift.
  • Planning and assigning work according to the nature of the job to be accomplished, the capabilities of subordinates and available sources; controlling work through periodic reviews or evaluations; determining subordinates training needs and providing or arranging for such training; motivating subordinates to work effectively; determining the need for disciplinary action and either recommending or initiating disciplinary action.
  • Prepare detailed reports, and ability to communicate effectively in oral and written expressions. Follow oral and written instructions and provide oral and written instruction in a precise and understandable manner.
  • Establish and maintain a harmonious working relationship with others.
  • Understand and apply agency procedures and guidelines governing the purchase of supplies, materials, and equipment.
  • Read and interpret documents such as contracts, bids, specifications, etc.
  • Perform other duties as assigned.
