About The Position

The Business Unit Administrator provides high-level administrative and operational support to the Senior Executives in Community Operations. This role is responsible for overseeing business unit operations, financial analysis, vendor management, reporting, and strategic coordination between corporate leadership, business units, and external stakeholders. This position provides strategic and administrative support for our Finance and Development leaders and teams, helping drive key initiative, optimize processes, coordinate projects, and contribute to the successful execution of organizational objectives.

Requirements

  • High school diploma plus a minimum of 6 years advanced operational administrative experience required.
  • Strong organizational and problem-solving skills with the ability to prioritize multiple tasks required.
  • Proficiency in financial analysis, reporting, and business administration required.
  • Excellent written and verbal communication skills, with the ability to interact effectively at all levels required.
  • High-level proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and other relevant business software required.
  • Ability to work independently, exercise sound judgment, and maintain confidentiality required.
  • Bachelor’s degree in Finance, Accounting, Economics, or a related field; or equivalent years of experience
  • Minimum of 6 years experience in capital accounting, FP&A, or asset‑focused finance roles
  • Proven experience leading managers and/or complex teams
  • Advanced Excel and reporting/analytics capabilities
  • Strong command of financial and analytical frameworks
  • Demonstrated ability to lead through ambiguity and competing priorities
  • Demonstrated ability to manage projects and coordinate effectively across functions and leadership levels.
  • Demonstrated ability to design, scale, and improve operating models
  • Strong executive‑level communication and decision‑support skills

Responsibilities

  • Serve as a key point of contact for business unit personnel, addressing inquiries and operational needs.
  • Perform financial analysis and budget tracking for the business unit.
  • Develop and maintain reports and spreadsheets utilizing various software applications.
  • Act as a liaison between senior leadership and corporate offices, external agencies, and employees.
  • Provide executive-level administrative support, including handling correspondence, scheduling travel, and managing document preparation and filing.
  • Independently create professional presentations and reports, including PowerPoint presentations.
  • Plan and coordinate meetings for business units. This includes, but is not limited to: scheduling, budgeting, managing accommodations and travel, negotiating vendor contracts, ensuring meeting room set up is appropriate, and presentation materials are available.
  • Lead special projects that involve data collection, analysis, training, and strategic recommendations.
  • Maintain a master calendar of critical dates for the senior leadership team and ensure timely follow-ups. Seamlessly manage scheduling conflicts and negotiate compromises.
  • Record and distribute meeting minutes to ensure alignment and accountability and take ownership of ensuring action items are completed.
  • Perform other duties and essential functions as needed.
