About The Position

The Business Systems Administrator is responsible for the administration, governance, support, and continuous improvement of Wealth Enhancement's planning technology ecosystem. This role serves as the primary liaison between advisors, Wealth Strategies, Operations, IT, vendors, and acquisition teams to ensure planning technologies are effectively governed, appropriately licensed, integrated, supported, and aligned with enterprise objectives. The position is responsible for vendor management, platform administration, license oversight, operational governance, M&A technology onboarding, process documentation, reporting, and technology optimization across approved planning technologies.

Requirements

  • Bachelor's Degree in business; finance, economics or related or the equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
  • 4+ years’ experience with vendor management, technology licensing or similar
  • Strong written and verbal communication skills.
  • Strong organizational and project management skills.
  • Ability to work independently and manage multiple priorities.
  • Strong analytical and problem-solving abilities.
  • Advanced Microsoft Office proficiency.

Responsibilities

  • Establish and maintain Wealth Enhancement's approved planning technology standards and governance framework.
  • Develop, maintain, and enforce planning technology policies, including: Approved platform standards. Licensing and eligibility requirements. Enterprise support tiers. Vendor onboarding requirements. Access and security standards.
  • Evaluate new planning technology solutions and coordinate review, approval, and implementation processes.
  • Partner with business leaders, Compliance, IT, Procurement, and Operations on planning technology decisions.
  • Support enterprise technology consolidation initiatives and standardization efforts.
  • Review and recommend planning technology standards, rationalization opportunities, and future platform enhancements in support of business objectives.
  • Maintain awareness of industry trends and emerging planning technologies.
  • Participate in technology due diligence activities.
  • Review acquired office technology inventories and vendor relationships.
  • Evaluate planning technology platforms for retention, migration, or retirement.
  • Develop onboarding and migration recommendations.
  • Coordinate planning technology integration strategies with acquisition stakeholders.
  • Coordinate onboarding of acquired offices into approved planning technology platforms.
  • Gather and document: User inventories. Office structures. Licensing requirements. Migration timelines.
  • Coordinate vendor communication regarding contract transitions, branding updates, billing changes, and account setup.
  • Support contract consolidation and enterprise agreement alignment.
  • Coordinate user provisioning, office setup, permissions, and access changes.
  • Assist with data migration activities and advisor transitions.
  • Serve as planning technology subject matter expert throughout the integration lifecycle.
  • Obtain specific details of new offices contract
  • Coordinate platform migrations, user provisioning, data transfer activities, platform consolidation efforts, and post-close stabilization support.
  • Serve as primary business contact for planning technology vendors.
  • Serve as the primary point of contact between advisors, vendors, Procurement, Finance, and internal business partners for supported planning technologies.
  • Maintain vendor inventory including: Contracts. License agreements. Renewal schedules. Pricing. Billing contacts. Internal business owners.
  • Manage planning technology licensing activities, including: New user provisioning. Role changes. License transfers. Deactivations. Access reviews.
  • Perform periodic license utilization and entitlement reviews.
  • Identify opportunities for cost savings, license optimization, and platform consolidation.
  • Coordinate invoice processing, approvals, and budget-related activities.
  • Support chargeback, cost allocation, budgeting, and forecasting exercises.
  • Maintain vendor records within approved third-party risk and vendor management systems.
  • Coordinate annual vendor reviews and compliance activities.
  • Serve as primary administrator and business support resource for approved planning technologies.
  • Configure and maintain system settings, user roles, permissions, templates, enterprise standards, and administrative controls.
  • Provision, modify, transfer, and deactivate user access in accordance with established policies and business requirements.
  • Troubleshoot platform issues and coordinate resolution with vendors, IT, Operations, and other internal stakeholders.
  • Provide platform administration support and guidance to advisors and internal business partners.
  • Coordinate platform releases, enhancements, testing, implementation, and user communications.
  • Manage planning technology integrations and associated data flows between vendor platforms and enterprise systems.
  • Coordinate with Investment Management and other business stakeholders to obtain, test, validate, and implement approved Capital Market Assumptions and other enterprise planning assumptions across supported planning platforms.
  • Monitor platform performance, data integrity, and configuration accuracy, escalating issues and coordinating corrective action as needed.
  • Develop and maintain operational procedures and administrative documentation.
  • Create and maintain: Internal administration guides. Operational workflows. Process maps. Knowledge base content. Advisor-facing support documentation.
  • Establish and monitor operational metrics and performance indicators.
  • Develop and maintain operational reporting, dashboards, analytics, and management insights supporting technology governance and decision-making.
  • Conduct periodic access reviews, utilization reviews, and governance assessments.
  • Support audits, control reviews, and compliance initiatives.
  • Identify and implement process improvement opportunities.
  • Maintain succession, backup, and business continuity documentation.
  • Partner with business leaders to improve efficiency, scalability, and standardization across planning technology processes.
  • Support service delivery framework, process maturity, and operational excellence initiatives.
  • Support advisor adoption of approved planning technologies.
  • Coordinate technology-related communications, training materials, and support resources.
  • Develop and maintain centralized repositories of planning technology knowledge and resources.
  • Create and maintain vendor training materials, user guides, and support documentation.
  • Support AI, automation, and digital enablement initiatives through the development, organization, and maintenance of technology documentation, training resources, workflows, and knowledge assets.
  • Partner with internal stakeholders to improve accessibility, usability, and consistency of planning technology resources.
  • Assist with technology-related projects and strategic initiatives as assigned.
  • Participate in departmental and cross-functional initiatives.
  • Support strategic projects aligned with Wealth Strategies objectives.
  • Perform other duties and responsibilities as assigned.
