About The Position

Join our Tualatin team as a Business Support Specialist, where you'll play a critical role in supporting sales and field service professionals through administrative coordination, customer engagement, and operational excellence.

Requirements

  • Associate degree, or the equivalent combination of education and experience
  • 2-3 years’ experience in a Customer Service role
  • Ability to operate standard office equipment.
  • Ability to maintain the highest level of confidentiality in handling complex and confidential information.
  • Excellent verbal and written communication skills; able to present clean, organized, and thorough information and data appropriate for intended audience.
  • Ability to perform well under pressure in a fast-paced environment.
  • Ability to plan and organize effectively.
  • Ability to multitask and identify, analyze, and solve problems.
  • Microsoft Office 365
  • ERP software – Infor LN and PLM applications

Responsibilities

  • New customer set-up, price changes, account changes, sales reports, etc.
  • Provide new customers with ordering processing information, contacts and assist with setup.
  • Coordinate and manage various customer communication (i.e., bid proposals, sales order confirmations, shipping confirmations, etc.)
  • Product research, quoting, logistical expediting.
  • Responsibility for Parts research, ordering, receiving, and inventory.
  • Help improve and work within a Spare Parts Program.
  • Respond to emergency parts needs from customers via phone.
  • Manage and maintain certain key account information (equipment quotes, orders, invoicing, pricing, etc.)
  • Perform duties including, but not limited to data entry, filing, producing/modifying documents, maintaining records, prepare outgoing mail and correspondence including email and faxes.
  • Provide excellent customer service via phone/email communications.
  • RMA (Return Material Authorization) coordination, communication, follow-up
  • Assist in any special customer/sales rep requests/reports via the following: Microsoft Dynamix D365/BlueStar, Customer driven historical usage reports, Spare Parts Lists
  • Assist Sales Account Manager with any requests for assistance (estimates, reporting, presentations, etc.)
  • Assist in training new Business Support Specialist team members.
  • Schedule/coordinate meetings and prepare minutes.
  • Edit templates, review, and summarize documents.
  • Other duties as assigned.
