About The Position

This position reports to the Business Services Director, with all Referral Specialists reporting to this position. The role requires effective and collaborative work with all Gritman Medical Center leaders and active participation in leadership meetings and development programs. The Coordinator provides ongoing leadership consistent with the Gritman Way, models desired behavior, and performs job duties independently, making decisions aligned with organizational level and responsibility. Key functions include coordinating and managing referral office team members' activities and workflows, maintaining effective inter-departmental relationships, organizing and assigning duties, ensuring proficiency with departmental software, establishing work schedules, monitoring daily performance for accuracy and timeliness, managing overtime, handling time off requests, processing payroll and timecard edits, maintaining attendance records, conducting performance evaluations, assisting HR with recruitment, providing orientation and training, identifying and recommending solutions, ensuring high-quality patient care by addressing concerns, assisting with disciplinary actions, managing patient records (scanning, purging, faxing), serving as a backup for team members, conducting staff meetings, attending training sessions, and maintaining excellent communication with patients, providers, and external entities for continuity of care. The role also involves staying current with payor requirements and relaying pertinent information to the team.

Nice To Haves

  • Bachelor’s degree in related field is preferred, but commensurate experience may be substituted.
  • Three to five years of successful supervisory or management experience preferred.

Responsibilities

  • Coordinate and manage the activities of referral office team members and engage in referral task workflows as directed by the Business Services Director.
  • Maintain effective working relationships with all departments.
  • Organize and assign duties and tasks to referral office team members.
  • Ensure all referral office team members have access to all necessary programs.
  • Establish referral office team member work schedules.
  • Monitor daily performance of referral office team members to ensure duties are completed accurately, efficiently, and timely.
  • Monitor and control overtime.
  • Manage team member time off requests.
  • Manage payroll and timecard edits.
  • Maintain attendance records and enforce organizations attendance policy.
  • Evaluate performance of referral office team members and conduct verbal and written performance evaluations.
  • Work with HR in recruitment.
  • Conduct orientation and training on referral office policies and workflows.
  • Identify and recommend solutions to referral office team members.
  • Ensure high quality care for patients by reviewing and researching concerns or complaints and recommending corrective action as appropriate.
  • Assist in disciplinary action as needed in conjunction with Business Services Director and Human Resources department. Document all disciplinary action.
  • Assist with scanning, purging and faxing patient records.
  • Serve as a back-up for referral office team members as needed by performing general administrative tasks due to staffing needs including vacations, illnesses, lunches, etc.
  • Conduct regular staff meetings and huddles.
  • Attend periodic training sessions and meetings pertinent to position.
  • Maintain excellent communication and effective working relationships with patients, providers, clinical and clerical team members within Gritman Medical Center, and the insurance companies, the public and the medical community outside Gritman for continuity of high-quality patient care.
  • Stay current with payor requirements and relay pertinent information to referral office team members.
