Requirements

  • Bachelor’s degree or equivalent experience in business operations, administration, data management, or a related field.
  • Cross-collaborative team player, modeling high levels of integrity, initiative, and accountability.
  • Strong operations, data management, problem-solving, prioritization, and follow-through.
  • Excellent relationship-management and service orientation, with the ability to interact confidently and professionally with both senior executives and various stakeholders and maintain discretion and professionalism with confidential information and sensitive situations.
  • Demonstrated problem-solving ability and dependable execution in a matrixed environment.
  • Able to manage and prioritize effectively periods of high-volume demand.
  • Learning agility and proficiency with Microsoft 365 and relevant systems
  • Can learn quickly on a steep curve and can adapt nimbly to changes, with interest in developing continuous improvement skills.

Responsibilities

  • Own the accurate, timely, and consistent execution of defined centralized administrative processes across Patient Safety, partnering across the administrative team to establish consistent ways of working, cross-training, and backup coverage for critical activities.
  • Maintain, validate, and reconcile workforce and organizational data across staffing databases, vendor records, organizational charts, distribution lists, mail groups, and recurring reports.
  • Generate recurring reports and dashboards related to workforce, staffing, invoices, vendors, and other organization-wide administrative metrics; identify data issues and coordinate required follow-up.
  • Manage administrative workflows related to vendors, contracts, purchase orders, invoices, and expense submission and reporting.
  • Maintain SharePoint content, access, and other shared administrative resources to support reliable information management and consistent team execution.
  • Partner with Patient Safety senior leadership to understand operational needs and translate them into coordinated actions, reports, and service priorities.
  • Demonstrate curiosity, initiative, and a willingness to learn new approaches, tools, and methods that improve team effectiveness and service delivery over time.
  • Anticipate operational issues, coordinate practical action plans, and make sound decisions within the scope of the role in a fast-paced, matrixed environment.
  • Cross-train across the administrative book of work to ensure business continuity and coverage across all PS administrative capabilities. There are opportunities to get involved in other activities that are within the administrative team’s scope.
