This is a hands-on, in-office role based in Chapel Hill, supporting the COO across operations, marketing/sales, HR, and administration/IT. The position is designed for individuals eager to learn the inner workings of a fast-growing consulting firm and use it as a career launchpad. Ascendient specializes in strategic planning, business planning, Certificate of Need applications, and community health assessments for healthcare organizations and public health departments. The firm's rapid growth is attributed to its disciplined approach to work and delivery, requiring the same rigor behind the scenes as in client-facing activities.

Requirements

  • At least two years of experience in an operations, coordinator, executive support, or office management role.
  • Strong organizational skills and ability to manage multiple workstreams simultaneously.
  • Proficiency with Microsoft 365 (SharePoint, Outlook, Excel).
  • Comfort learning new tools quickly.
  • Clear, professional written and verbal communication skills.
  • Based in or willing to relocate to the Chapel Hill area, with availability for in-office work.
  • A genuine interest in business operations and understanding the 'why' behind tasks.

Nice To Haves

  • Experience in a small or growing professional services or consulting firm.
  • CRM administration experience (HubSpot or similar).
  • Exposure to HR or benefits administration.
  • Comfort using AI tools (Claude, ChatGPT) in daily workflow.
  • Demonstrated interest in a future career path in operations, business management, or leadership.

Responsibilities

  • Manage the "deal to delivery" process from client win to invoicing.
  • Set up, track, and report on client engagements, ensuring the PSA system (BigTime) is accurate.
  • Facilitate weekly planning meetings with project leads and ensure follow-up actions are completed.
  • Own CRM lead distribution and pipeline reporting, maintaining accurate contact information, lead source, and attribution tracking.
  • Support proposals and RFPs, focusing on state registration/licensure and insurance requirements.
  • Manage resource management processes and generate reports for leadership decision-making.
  • Build and maintain the firm's process documentation and Standard Operating Procedures (SOPs), identifying areas for process improvement.
  • Provide day-to-day executive support to the COO, including scheduling, follow-ups, and financial administration.
  • Administer SharePoint, collaboration tools, and coordinate basic IT and vendor matters.
  • Support onboarding processes and HR administration.
  • Undertake additional coordination and support tasks across the firm as identified, with the expectation of role growth.
