About The Position

The Data, AI, and Computing Initiative (DAC) at the University of Notre Dame is seeking qualified candidates for the role of Business Operations Coordinator. The Initiative’s mission is to advance purposeful data, AI, and computing by strengthening foundational research and accelerating interdisciplinary collaboration with real-world impact—all grounded in Notre Dame's mission as a force for good. Aligned with Notre Dame's Strategic Framework 2033, DAC integrates research, education, infrastructure, and external engagement across colleges, centers, and disciplines. Recognizing computation alongside the traditional research pillars of theory and experiment, DAC serves to amplify data, AI, and computing research, curricula, and impactful programming to coordinate existing strengths, identify and address strategic gaps, and multiply Notre Dame’s global impact. The Business Operations Coordinator ensures effective financial planning, accurate reporting, regulatory compliance, contract management, and human resources processing for the DAC Initiative. Because DAC houses a unique mix of research personnel assigned to both external contracted projects and internal university recharge work, this full-time position is responsible for constructing, reporting, and managing budget allocations and HR compliance operations, as well as coordinating external billings and collections.

Requirements

  • Bachelor’s degree (4 years)
  • 3 to 4 years of experience
  • Hands-on experience preparing complex budgets.
  • Proven track record in preparing financial statements, audits, and compliance reports.
  • Experience billing and accounts receivable monitoring and liquidity, managing reserves, and managing FOAPAL accounts.
  • Familiarity with financial regulations, tax laws, and University institutional reporting standards.
  • Experience with University systems for finance and HR Collaboration.
  • Ability to work effectively with academic, administrative, and external stakeholders.
  • Proficiency in University financial systems data analysis including strong Excel and financial modeling skills to support decision-making.
  • Ability to align financial planning with University and Initiative goals.
  • Skilled in identifying financial risks and implementing solutions.
  • Commitment to transparency, integrity, and accountability.

Responsibilities

  • Construct, report, and manage budget allocations, while coordinating external billings and collections for the Initiative.
  • Monitor and catalogue all contracts for the Initiative.
  • Ensure full compliance with all relevant HR processes and external regulations.
  • Coordinate directly with the associate directors of institutes and centers within DAC to assemble a comprehensive, unified view of all financials, contracts, and HR compliance.
  • Deliver financial reporting on a monthly basis, while performing billing, recharge, and tracking activities both monthly and as required by various contracts.
  • Play an integral role in planning and monitoring expenses for events and engagements led by DAC as part of its mission to engage external stakeholders.
