About The Position

Aurelius Systems is seeking a Business Operations Associate to manage internal systems and coordination efforts, ensuring the company operates smoothly. This role involves bringing structure to ambiguous situations, resolving issues efficiently, and accelerating the team's progress. It extends beyond traditional executive assistance to include managing internal tools, company systems, documentation, process coordination, and high-priority cross-functional projects that don't fit neatly into one team. While the Operations Specialist supports hardware and physical operations, this role focuses on the software, systems, and operational rhythm of the company.

Requirements

  • 2-5 years in business operations, management consulting, banking, internal ops, chief of staff, or a high-output generalist role at a startup.
  • Exceptional organizational skills, with the ability to manage multiple tasks simultaneously and bring structure to ambiguity.
  • Strong judgment, capable of transforming vague problems into actionable plans independently.
  • Direct, clear, and trusted communication skills, with the ability to collaborate effectively across teams and with leadership.
  • Proactive problem-solving abilities, ensuring tasks are completed without constant follow-up.
  • Comfort with ambiguity in an early-stage company that is still developing its processes.
  • Must be a "U.S. Person" (U.S. citizen, legal permanent resident, or certain protected classes of asylees and refugees) due to access to export-controlled information.

Nice To Haves

  • Experience at a startup or high-growth tech company.
  • Familiarity with project management tools.
  • Veteran with military admin, personnel, or S-1 background.
  • Experience administering SaaS stacks and access controls.

Responsibilities

  • Executive and team scheduling, calendaring, and meeting coordination across the organization, including for the CEO.
  • Internal tooling and SaaS administration, including provisioning, renewals, and access management.
  • Maintaining internal documentation, knowledge bases, and org-wide resources to ensure they are current and easily accessible.
  • Developing internal communications and designing processes to support company scaling.
  • Managing administrative aspects of visitor coordination, including NDA documentation and scheduling for site visits.
  • Handling office transition and onboarding logistics as the company expands into new spaces.
  • Taking ownership of special projects and cross-functional execution, particularly for high-priority tasks that require a dedicated owner.
  • Overseeing the administrative and operating systems that the company relies on.
