About The Position

At Spring Arbor Cottage of Salisbury, our work is about more than operating a senior living community. We are creating a place where individuals living with Alzheimer’s disease and other forms of dementia can feel comfortable, connected, understood, and truly at home. Located in Midlothian, Virginia, our 48-unit community is dedicated exclusively to Memory Care, offering a smaller, more personalized setting designed around familiarity, consistency, meaningful engagement, and compassionate support. Our team takes the time to understand each resident's individual story, preferences, abilities, and daily routines while helping families feel supported throughout their journey. We are seeking an experienced, organized, and people-focused Business Office Manager to join our leadership team. This is an excellent opportunity for someone who enjoys wearing multiple hats and wants to make an impact beyond the traditional business office. The Business Office Manager works closely with the Executive Director and plays an important role in the overall success and culture of the community, supporting resident accounts, billing and collections, accounting functions, Human Resources, employee relations, onboarding, and day-to-day office operations. The ideal candidate is detail-oriented, approachable, highly organized, and comfortable balancing the numbers side of the business with the people side. You should be someone associates can trust, residents and families feel comfortable approaching, and leadership can rely on to help keep the community running smoothly.

Requirements

  • Must be a minimum of 18 years of age.
  • Working knowledge of and comfort with Microsoft Office programs, including Word, Excel, and Outlook, is required.
  • Strong organizational skills and attention to detail.
  • Ability to manage sensitive and confidential information professionally.
  • Must have a positive Criminal Background Screening.
  • The Community is a drug-free workplace; associates are subject to adherence to the Company Drug Free Workplace policy.
  • If assigned driving responsibilities, the associate must possess and maintain a valid driver's license and an acceptable Motor Vehicle Record (MVR) in accordance with Company Fleet Safety standards.

Nice To Haves

  • Minimum of one year of office-related experience preferred.
  • Experience within senior living, healthcare, hospitality, or another resident/customer-focused environment is a plus.
  • Experience with accounts receivable, accounts payable, payroll processing, billing, collections, or basic accounting functions is strongly preferred.
  • Minimum of one year of accounting experience preferred.
  • Experience supporting Human Resources, onboarding, employee relations, or personnel administration is a plus.
  • Strong decision-making, self-motivation, teamwork, communication, and problem-solving skills.
  • A genuine desire to work within a community serving seniors and families affected by Alzheimer's disease and other forms of dementia.

Responsibilities

  • Manage resident accounts, including daily payment posting, deposits, monthly charges, statements, collections, refunds, rate changes, and account accuracy.
  • Coordinate resident move-in, move-out, and transfer-related account activity and ensure charges are entered and processed accurately.
  • Partner with residents and families regarding billing questions, account balances, payments, and other business office needs while providing responsive, professional customer service.
  • Oversee accounts receivable activities and support additional accounting and financial functions within the community.
  • Manage the guest and associate meal program, including tracking receipts, reconciling funds, preparing deposits, and completing required weekly and monthly reporting.
  • Serve as a key resource for associate relations, including employee questions, concerns, corrective action, and investigations, partnering closely with the Executive Director and Employee Relations as appropriate.
  • Support Human Resources functions, including onboarding, personnel documentation, associate records, payroll-related processes, and other HR responsibilities when the Community does not have an HR Director.
  • Hire, train, schedule, supervise, and support the Assistant Business Office Manager and Receptionist, where applicable.
  • Partner closely with the Executive Director and other department leaders as an active member of the community leadership team.
  • Help create a welcoming, organized, and professional environment for residents, families, associates, and visitors.
