About The Position

The Business Office Manager is responsible for coordinating and managing office and personnel functions for the Community and aiding the Executive Director (ED). This role involves managing resident accounts, processing payments, assessing charges, and overseeing various financial and administrative tasks. Additionally, the Business Office Manager serves as a point of contact for associate relations and supports Human Resources functions if a dedicated HR Director is not present within the community.

Requirements

  • Must be a minimum of 18 years of age.
  • Working knowledge of and comfort with Microsoft Office programs including Word, Excel, and Outlook is required.
  • Must have a positive Criminal Background Screening.
  • Adherence to the Company Drug Free Workplace policy.
  • If assigned driving responsibilities, must possess and maintain a valid driver’s license and an acceptable Motor Vehicle Record (MVR) in accordance with Company Fleet Safety standards.

Nice To Haves

  • Minimum of one (1) year office-related experience preferred.
  • Must possess attention to detail, demonstrated decision making, self-motivation and teamwork skills.
  • Experience with payroll processing, accounts receivable & payable is a plus.
  • Knowledge of basic accounting principles with a minimum of one (1) year accounting experience preferred.

Responsibilities

  • Process and manage resident accounts, including posting payments, preparing deposits, and taking them to the bank.
  • Assess monthly charges, generate statements, and collect all fees.
  • Account for move-in, move-out, transfer, charges, and collections.
  • Send out resident billings and process refunds and related correspondence.
  • Charge guest meals, tray service, escort services, additional laundry, and maintenance requests to residents.
  • Enter rate changes and verify the accuracy of all charges on residents' accounts.
  • Oversee guest/associate meal program, tracking cash, and preparing deposits to reconcile daily receipts.
  • Work closely with the Dining Services Director to ensure accuracy of monies collected, deposited, and coded into the computer.
  • Complete weekly and monthly reports for guest/associate meal activity.
  • Serve as the point of contact for all associate relations, including complaints/concerns, corrective action, and investigations.
  • Partner with the Executive Director and Director Employee Relations on appropriate resolution of associate relations issues.
  • Hire, train, schedule, supervise, and coordinate the activities of the Assistant Business Office Manager (ABOM) and Receptionist, where applicable.
  • Support all Human Resources functions if the Community does not have an HR Director.
