About The Position

The overall purpose of the Office Manager position is to provide direct administrative and clerical support to the Executive Director and Director of Clinical Services and manage the Receptionist. Additionally, all tasks and functions related to ensuring the Elysian Hospice Office operates smoothly is the responsibility of this position.

Requirements

  • High school diploma or equivalent required
  • Minimum of 3–5 years of business office or administrative management experience, preferably in hospice, home health, or another healthcare setting
  • Prior supervisory experience required, including hiring, performance management, and staff development
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable learning new systems
  • Working knowledge of office operations, vendor management, supply requisition, and equipment service contracts
  • Experience managing budgets, petty cash reconciliation, and basic financial reporting
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and competing demands
  • Excellent written and verbal communication skills, with a professional and approachable presence
  • Demonstrated discretion and judgment when handling confidential patient, employee, and business information
  • Ability to interact effectively with patients, families, physicians, referral sources, staff, and external partners
  • Strong problem-solving skills and attention to detail
  • Ability to work independently while supporting an interdisciplinary team
  • Reliable transportation, valid driver's license, and current auto liability insurance

Nice To Haves

  • Associate's or Bachelor's degree in Business Administration, Healthcare Administration, or related field preferred
  • Familiarity with HIPAA and healthcare regulatory requirements preferred

Responsibilities

  • Supervise the Receptionist role, including hiring recommendations, performance evaluations, training, work allocation, and problem resolution
  • Supervise, guide, and direct support staff responsible for transcription, mail, and order/plan of care collection
  • Provide administrative support to the leadership team, including problem solving, meeting planning, travel and hotel arrangements, and preparation of documents, forms, and presentations
  • Prepare and maintain the Elysian Hospice calendar, including meetings and conference calls
  • Prepare administrative reports as directed by the Executive Director or Board of Directors
  • Maintain a current Elysian Hospice Office Contact List
  • Maintain an up-to-date list of referring physicians, including names and license numbers
  • Maintain V-Drive documents as needed
  • Manage Elysian Hospice stationery, business cards, forms, and manual program
  • Oversee office equipment agreements and service contracts
  • Recommend equipment needs to support efficient operations
  • Monitor and oversee the requisition of supplies for the hospice IDT, building maintenance, contractual services, and information services
  • Oversee the security alarm system and coordinate building and janitorial issues with the property management company
  • Manage and reconcile office petty cash
  • Coordinate hotel and restaurant arrangements for meetings as needed
  • Maintain the backup schedule for Misys
  • Provide positive customer relations with patients, families, physicians, internal staff, referral sources, and external partners
  • Adhere to all hospice policies and procedures
