About The Position

As the Business Office Manager, reporting directly to the Executive Director, you will ensure the provision of quality care in accordance with Federal, State and Local regulations while supporting your team by being the point of contact for all associates. This role oversees the functions of the business office, assists with marketing functions, including tours and participation in community activities, and maintains associate timecards and prepares/submits payroll to Human Resources. You will also be responsible for processing and submitting all account payables and receivables, posting ledgers, balancing and reconciling individual resident accounts monthly, and maintaining all employment records. Additionally, you will order office and Resident Services supplies as needed and assist with the development and presentation of marketing initiatives. This position may have supervisory responsibilities of administrative staff.

Requirements

  • Bachelor’s degree (B.S./B.A.) or equivalent from a college or university and a minimum of two years related experience and/or training preferred; equivalent experience and/or training will be considered
  • Proven leadership and organizational skills
  • Great communication and interpersonal skills are required along with the heart and passion to work with older adults while providing the best care possible.
  • Must have the ability to remain calm in stressful situations, to be flexible, to work well with many interruptions and have skill in multi-tasking.
  • Respect for the principles of resident rights and confidentiality.
  • Must possess a general knowledge of laws and restrictions regarding Assisted Living, Memory Care and Independent Living (where applicable), as well as a solid understanding of opportunities and limits of other levels of care within senior living.
  • Must exhibit and promote a high level of customer service, hospitality, courtesy and friendliness towards all residents, visitors, associates and the overall community.

Responsibilities

  • Coordinate and participate in all training for new and existing associates
  • Perform conflict intervention and resolutions for customers, families, associates and others as needed
  • Oversee the functions of the business office including assisting with marketing functions, including tours and participation in community activities
  • Maintain associate timecards and prepare/submit payroll to Human Resources
  • Properly maintain and receive payment for services
  • Make banking deposits, maintain and record petty cash money and receipts
  • Process and submit all account payables and receivables
  • Post ledgers, balance and reconcile individual resident accounts monthly
  • Maintain all employment records
  • Order office and Resident Services supplies as needed
  • Assist with the development and presentation of marketing initiatives
