About The Position

Coordinates and schedules the use of all facilities within the Event Services Department. The Business and Facilities Manager is responsible for supporting the University’s strategic plan and implementing events that advance the University’s relationships with students, faculty and staff, and community members. The Business and Facilities Manager communicates with customers to schedule events and determine need for space, equipment, security, and setup needs.

  • Strong organizational skills with the ability to multi-task in a fast-paced setting
  • High levels of problem solving, team building, and communication skills both verbally and written, as well as an entrepreneurial spirit
  • Proven record of computer application experience
  • Ability to learn and operate audio/visual equipment
  • Familiarity with Excel, Access, Microsoft Word, and Windows based applications

Responsibilities

  • Supervise the daily operations of the Scheduling Office for the Event Services Department
  • Maintain all policies and procedures as mandated by the University of Louisiana Monroe
  • Answer incoming calls
  • Assist in scheduling events in the Event Management System
  • Secure necessary reservation documentation including insurance certification, alcohol certificates, and confirms ULM police presence prior to an event
  • Review event bills and invoices for accuracy and document all payments received
  • Collect payments and prepare deposits to be taken to the bank while keeping an accurate record of all payments received
  • Coordinate with catering vendors for university and community events
  • Provide facility oversight and scheduling for organizational meetings, University functions, and community events
  • Coordinate with University departments to ensure a smooth operation of all events scheduled for designated facilities.
  • Work closely with the Physical Plant, custodial and set up services, and local rental companies
  • Event follow-up and processing once an event has been successfully completed including return of security deposit (when applicable), collection of catering fees, and follow-up with clients
  • Ensure accuracy of setups prior to events
  • Supervises student workers including but not limited to scheduling and training
  • Perform other duties concerning University matters as they are assigned by the Director of Event Services, the Vice President for Business Affairs, or the President of the University
