About The Position

Gradient is a creatively led, high-end experiential marketing agency based in NYC. We create immersive, story-driven experiences rooted in strategy, creativity, and meticulous execution. As our agency continues to grow, we're looking for an Executive Assistant to support our Founder and help drive everything they touch forward. This role exists to make our Founder more effective. You won't own one narrow function, you'll own their time and their follow-through. One day that means researching a CMO and prepping a briefing document. The next it means organizing a dinner in Paris, chasing down outreach on a list of 30 target contacts, or getting an article across the finish line. If something is taking time away from what the Founder does best, your job is to take it on or clear the path. With Gradient's expanding international reach, fluency in both English and French is required. You'll support communication with global and French-speaking clients, partners, and contacts, ensuring clarity, professionalism, and cultural fluency at every touchpoint. This role is ideal for someone who is deeply organized, endlessly resourceful, and energized by variety. Over time, you'll learn how the Founder operates and start anticipating what they need before they ask.

Requirements

  • 1-3+ years of experience in coordination, executive support, operations, sales support, or a related role.
  • Fluent in English and French (spoken and written), required.
  • Based in New York City, required.
  • Highly organized with sharp attention to detail and relentless follow-through.
  • Comfortable supporting a founder directly and managing many priorities at once.
  • Proactive and resourceful: you anticipate needs rather than wait for instructions.
  • Strong written and verbal communication skills.
  • Energized by variety: equally comfortable researching a CMO, updating a CRM, planning a dinner, or handling a personal errand.
  • Curious about creative agencies, branding, and experiential marketing.
  • Calm under pressure and trustworthy with sensitive, high-priority work.
  • Strong research and writing skills.

Nice To Haves

  • Experience in a creative agency or professional services environment is a plus.
  • Experience working with international or French-speaking clients is a plus.

Responsibilities

  • Act as a true extension of the Founder, managing priorities, follow-through, and the details that keep everything moving.
  • Support business development efforts: research prospects and decision-makers, coordinate outreach and follow-ups, and track opportunities in the CRM (HubSpot or Salesforce).
  • Build and manage contact lists, get outreach out the door, and make sure every follow-up actually happens.
  • Plan and coordinate events, from guest lists and invitations to day-of logistics (a dinner in Paris, a client gathering in NYC, anything in between).
  • Support the Founder's writing projects with research, organization, editing, and getting drafts to completion.
  • Make travel frictionless: manage bookings, itineraries, and the logistics that keep trips smooth.
  • Handle personal and logistical tasks as needed, freeing up the Founder's time and attention.
  • Prepare the Founder for meetings and pitches with the right materials, research, and context.
  • Coordinate with internal teams to gather inputs, align on priorities, and ensure smooth handoffs.
  • Track action items across every workstream and help close the loop after meetings, pitches, and projects.
