About The Position

The Office of the University Registrar is seeking a Business Analyst for Catalog, Calendar, and Scheduling. This role reports to the Associate University Registrar for Academic Catalogue, Academic Calendar, and Classroom Management and Scheduling. The Office of the University Registrar functions as a technical and functional expert in areas such as student record protection, reporting compliance, institutional needs, data stewardship, technical enhancements, and business solutions. This position acts as an interface between the Office of the University Registrar, divisional registrar offices, the University technology team, and contracted services, focusing on catalogue, academic calendar, academic and event scheduling, and classroom management. The Business Analyst will analyze business problems, propose creative solutions, and support data-driven decision-making through data integration, integrity, mining, analysis, and reporting. The role also provides functional support to the Registrar's team, collaborates with the University Information Systems team, and contributes to technical and functional projects. This position is 100% remote.

Nice To Haves

  • Functional experience with Student Information Systems and Microsoft Office Suite of programs (Word, Excel, SharePoint, etc.) is strongly preferred.
  • Functional experience with CourseLeaf CAT, CIM, CLSS, or another catalog and curriculum software is strongly preferred.
  • CollegeNET/25Live or other scheduling software is strongly preferred.
  • Functional experience with OnBase or other document imaging software is strongly preferred.
  • Knowledge of FERPA (Family Educational Rights and Privacy Act) and all laws, rules, and regulations related to JHU policies is desired.
  • Bachelor’s Degree in Data Analytics, Information Systems, Finance, Accounting, or a related field.
  • Four years of progressively responsible related experience.
  • Experience working with cross-functional teams and process improvement.
  • Experience working with Student Information Systems.
  • Four years of registrar’s office experience, preferably in the area of catalogue, academic calendar, and scheduling preferred.

Responsibilities

  • Lead catalogue communication with editors across all divisions and collaborate with divisional registrar offices to maintain lists of page owners, editors, and approvers.
  • Assist with the maintenance and updates of catalogue software, create documentation, and conduct training on catalogue software for end-users.
  • Ensure data integrity and monitor entry, analysis, and report generation for adherence to established policies, procedures, and deadlines.
  • Partner with divisions to ensure catalogue data is accurately reflected across all systems and coordinate and execute program records maintenance throughout various systems.
  • Suggest enhancements in catalogue processes and lead projects where applicable.
  • Support the daily operation of the University scheduling software CollegeNET/25Live with database updates and serve as the 25Live system administrator.
  • Analyze space usage to ensure effective utilization of resources and identify spaces, producing periodic space utilization analytics for executive leadership.
  • Develop new uses and reporting formats for the university on space utilization and provide training to department chairs, administrative associates, campus administration, and others in the 25Live program.
  • Create training documents and how-to guides for use university-wide and create reports and documents used by the University as a basis for accrediting body-required reports.
  • Oversee access permissions for administrators and participate on the 25Live Steering Committee to identify and implement methods and practices that result in successful administrative functioning for scheduling.
  • Produce and maintain a 10-year Academic Calendar website and collaborate with divisional registrar offices to align calendar dates.
  • Ensure the academic calendar is conflict-free, including working with various functional areas at JHU.
  • Working closely with the Classroom Management team, provide support for classroom management at the Homewood campus, ensuring all instructional spaces are according to standards.
  • Provide support for new initiatives as well as current systems related to scheduling, including CLSS (CourseLeaf product).
  • Research and resolve discrepancies in student information systems and other propagated systems and recommend future systems improvements.
  • Monitor, observe, and ensure processes and practices that actively safeguard student data (per the University’s FERPA policy).
  • Serve as an expert and central resource on the school’s Registrar systems and data, providing registrar-related functional support across all divisions as required.
  • Provide functional support to the divisional registrar offices in maintaining vendor relationships and websites about the catalogue, calendar, and scheduling.
  • Run scheduled audit reports and provide support for data clean-up of student records.
  • Administer data integrity and governance, research and resolve discrepancies in reports, and recommend reporting improvements.
  • Collaborate on testing new business solutions, documenting processes, and providing recommendations.
  • Collaborate on other projects, e.g., registration, divisional events as needed, and other general office functions as assigned.
