This role serves as the administrative hub of the division, partnering closely with Account Managers, field teams, and leadership to ensure contracts, billing, payroll support, reporting, and business operations run smoothly. Requirements

  • 5+ years of administrative, office management, business administration, accounting support, or operations experience.
  • Strong organizational skills with the ability to prioritize multiple projects and deadlines.
  • High attention to detail and accuracy.
  • Experience supporting billing, payroll, accounts payable, accounts receivable, or financial processes.
  • Strong Microsoft Office skills, especially Excel, Outlook, and Word.
  • Professional communication skills with the ability to work effectively with both field and office teams.
  • Ability to maintain confidential information and exercise sound judgment.
  • Experience in landscaping, construction, maintenance services, property services, or a similar field-service environment.
  • Experience with ERP or accounting systems.
  • Experience working with workforce management systems.
  • Must be able to pass pre-employment drug screen and background check.

Responsibilities

  • Manage maintenance contract setup, renewals, and updates within company systems.
  • Maintain service agreements, pricing schedules, and client documentation.
  • Track contract renewal dates and client requirements.
  • Support Account Managers with contract administration and customer documentation.
  • Maintain organized digital and physical contract records.
  • Assist with client-specific billing requirements and supporting documentation.
  • Review employee timecards and labor coding for accuracy.
  • Support weekly payroll processing and labor reporting.
  • Identify and resolve missing or incorrect time entries.
  • Assist employees with timekeeping and payroll-related inquiries.
  • Maintain employee records, certifications, and required documentation.
  • Prepare invoices and billing documentation for review and processing.
  • Manage monthly maintenance contract billing and supplemental service billing.
  • Track accounts receivable and assist with collections monitoring.
  • Process vendor invoices, credit card reconciliations, and accounts payable documentation.
  • Support job costing, revenue tracking, and financial reporting.
  • Assist with monthly commission reporting and administration.
  • Generate billing, labor, financial, and operational reports.
  • Maintain data integrity across company ERP and CRM systems.
  • Update client, project, and maintenance records.
  • Create reports and dashboards that support business decisions.
  • Review and close completed purchase orders and jobs.
  • Support process improvements and workflow efficiencies.
  • Ensure accurate documentation and recordkeeping.
  • Provide administrative support for Account Managers and Division leadership.
  • Coordinate office functions, communications, and scheduling support.
  • Monitor office and safety supply inventories.
  • Assist with special projects and division initiatives.
