About The Position

The Business Administrator I serves as the executive assistant to the Vice President for Research (VPR) and manages the business operations of the Office of Research and Sponsored Programs (ORSP). This role provides leadership and oversight for office functions, resolves issues proactively, and administers a range of business activities with independent judgment and discretion.

Requirements

  • Bachelor’s degree or higher in related field.
  • Five (5) years of related experience.
  • Strong working knowledge of word processing and spreadsheet applications.
  • Exceptional organizational and multitasking skills.
  • Strong communication abilities with a focus on discretion and professionalism.
  • Proficiency in office operations, budget management, and meeting coordination.
  • Ability to work independently and collaboratively in a high-paced environment.
  • Experience with budget tracking and management.

Responsibilities

  • Serves as a liaison with financial, payroll, and human resources departments, ensuring timely processing of forms, reports, and other documents.
  • Oversees and maintains office supply inventory, processes purchase requisitions, reconciles expenditures, and ensures compliance with budgetary constraints.
  • Serves as Accountable Property Officer for the ORSP.
  • Ensures ORSP compliance with all applicable finance, administrative, and other procedures.
  • Assists with the management of financial transactions, including assigning costs to appropriate accounts and projects.
  • Monitors and controls operating expenditures and makes projections.
  • Assists in the development, monitoring, and management of ORSP’s annual budget, including forecasting and expense tracking.
  • Oversees annual fiscal year closing activities.
  • Manages maintenance of business files.
  • Identifies and implements process improvements, administrative changes, or new initiatives, providing staff training and policy interpretation.
  • Provides executive administrative support for the VPR and serves as the primary liaison with appropriate campus offices and departments as needed.
  • Manages the VPR’s calendar, scheduling meetings and events, gathering vital information about event/meeting logistics, tactfully managing scheduling and prioritization, and resolving conflicts to align with office priorities.
  • Coordinates travel arrangements, prepares itineraries and processes expense reports for the VPR.
  • Plans, coordinates, and oversees logistics for meetings and activities involving internal and external stakeholders, ensuring preparedness and professional execution.
  • Supports ORSP projects by tracking critical dates, following up on action items, and liaising with multiple departments and offices.
  • Handles sensitive and confidential information with discretion while ensuring proactive communication with relevant parties.
  • May supervise staff and/or student employees as assigned.
  • Performs special analyses, project summaries, and other duties as required.
