About The Position

The Building Secretary is responsible for managing the front office of the school, greeting visitors, handling communications, and performing various administrative tasks to support the building principal and office staff. This role requires strong organizational skills, computer proficiency, and the ability to maintain confidentiality.

Requirements

  • High school diploma and/or specialized training or experience in secretarial related responsibilities.
  • Background experience using school-related software or willingness to learn, including, but not limited to: Powerschool, Time and Attendance, iVisions and InfoSnap.
  • Knowledge and/or experience in use of computers and various technological applications.
  • Demonstrated competence in relating, communicating, and maintaining confidentiality in the workplace.
  • Friendly and professional to all students, parents, visitors and staff.

Nice To Haves

  • 2-year/4-year degree preferred but not required.

Responsibilities

  • Greet all visitors, students and staff members courteously, determine their needs, check appointments, and direct or escort them to their proper destination.
  • Receive and route incoming calls.
  • Use software systems in place to secure substitutes for certified and classified staff, coordinate multiple systems to monitor leave and electronic time sheets.
  • Maintain a log of visitors to the school.
  • Input data into the student information system.
  • Perform office routines necessary for professional office management and assist building principal with varied organizational tasks.
  • Operate computers, copiers, facsimile machines, postage machines, etc.
  • Type a variety of material, such as letters, student/personnel records, reports, memos, etc.
  • Sort and route incoming mail.
  • Maintain and develop existing systems within the office (including, but not limited to: key management, money handling, requisition and purchase order development).
  • Maintain required student/personnel records and confidentiality in working with student and staff information.
  • Maintain an attractive, neat, and comfortable reception area.
  • Coordinate other office staff as directed by administration.
  • Fill in for other office staff during lunch or absences.
  • Perform other duties as assigned.
