About The Position

Under the direction of the Associate Director, Buildings, the incumbent will assist in supporting the day-to-day operations of the infrastructure of Faculty of Arts, including but not limited to moves, small renovation, etc. The incumbent will also act as the liaison between occupants and the various University Services as well as external service providers by providing centralized support and coordination for all Faculty building improvements. Will provide support for a variety of building moves or renovations tasks related to the facilities operations of the Faculty of Arts. Will assist the Associate Director in recognizing and advocating for repair and renovation priorities in the Faculty of Arts.

  • Strong attention to detail and a demonstrated ability to proofread/edit correspondence and other materials using appropriate spelling, grammar, and punctuation.
  • Ability to work in a PC environment using specialized database, word processing, spreadsheets, presentation software, email, and the Internet.

  • Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 (fluent) on a scale of 0-4.

Responsibilities

  • Supports the Associate Director, Buildings in the Faculty of Arts to deliver on infrastructure projects, initiatives, and day-to-day operations across the Faculty.
  • Works closely with Associate Director, Buildings to coordinate office space moves and assist in the reporting of all space usage or occupancy changes back to Campus Planning and Development.
  • Aligns and coordinates regular building inspections with McGill’s institutional norms, logs equipment breakdowns, monitors established performance indicators, and trouble shoots accordingly.
  • Provide access as requested for appropriate buildings and ensure requests for keys, equipment, and telephone are tracked properly.
  • Perform regular analysis of space and maintain database using Archidat with updates related to space.
  • Create various lists per building, including, but not limited to, the following: Listservs, fire marshals, sweepers per floor, etc.
  • Maintain the list of First Aid kits, including location and contact information.
  • Liaise with Facilities Operations, Environmental Health and Safety (EHS), Campus Public Safety, and Fire Prevention Office and Security Services for building-related issues.
  • Ensure building occupants are advised of events that might impact their working environment and building services.
  • Maintain inventory for office supplies, materials, and furniture.
  • Monitor email inboxes for general building requests, triage accordingly, and escalate to Associate Director, if required.
  • Perform other related duties as required.
