About The Position

The Reynoldsburg City Schools’ Building Administrative Secretary is responsible for serving as the primary administrative and operational lead for the school office. This position is responsible for coordinating front office operations, overseeing student records, attendance and compliance processes, supporting staff and building administration, and ensuring accurate, timely, and confidential handling of school operations.

Requirements

  • High school diploma or G.E.D. required
  • Minimum of two (2) years of secretarial, clerical, or office experience, preferably in a school or public-sector setting
  • Demonstrated proficiency with office technology and data entry
  • Ability to successfully pass required criminal background checks
  • Knowledge of English grammar, spelling, and punctuation
  • Knowledge of school attendance, enrollment, and recordkeeping requirements
  • Knowledge of student confidentiality laws (FERPA, HIPAA)
  • Knowledge of basic accounting and financial recordkeeping practices
  • Skilled in PowerSchool, Raptor, Frontline, Microsoft Word, Excel, and Google Workspace
  • Skilled in accurate typing, data entry, and report generation
  • Skilled in professional customer service and office management
  • Skilled in managing multiple priorities in a fast-paced environment
  • Ability to exercise sound judgment and discretion with confidential information
  • Ability to communicate effectively with diverse stakeholders
  • Ability to remain calm, flexible, and professional under pressure
  • Ability to maintain organized, audit-ready records

Nice To Haves

  • Some college coursework, associate’s degree, or specialized training in office administration
  • Experience with student information systems (PowerSchool), visitor management systems (Raptor), and Frontline Absence Management
  • Experience supporting financial processes, budgets, or activity accounts
  • Strong typing skills (60+ WPM preferred)

Responsibilities

  • Manages daily front office operations, including answering phones, responding to emails, greeting visitors, and directing inquiries.
  • Provides exemplary customer service to students, parents, staff, and community members.
  • Maintains visitor sign-in/out procedures and student entry/exit logs using the Raptor system.
  • Enters, monitors, and audits daily student attendance, tardies, and early dismissals in PowerSchool.
  • Works collaboratively with school administrators and social workers to support truancy interventions and Ohio HB 410 compliance.
  • Prepares attendance and truancy reports and correspondence as required.
  • Registers new students, processes transfers and withdrawals, and ensures proper documentation is obtained and filed.
  • Maintains student cumulative files including medical documentation and testing materials in compliance with FERPA.
  • Fulfills records requests and updates teacher, course, and calendar information in PowerSchool.
  • Provides clinic coverage, including administering basic first aid and dispensing medications in accordance with district policy.
  • Maintains confidential health logs in compliance with HIPAA and FERPA requirements.
  • Collects, records, and deposits funds related to fees, activity accounts, and fundraisers.
  • Processes requisitions, purchase orders, invoices, and budget tracking for building operations.
  • Maintains petty cash accounts and prepares financial reports.
  • Manages staff absences using Frontline, coordinates substitute coverage, and prepares substitute materials.
  • Processes staff paperwork including Extra Duty Forms, Green Sheets, Supplementals, and payroll documentation.
  • Coordinates graduation-related activities including diploma ordering, senior records, and awards ceremonies.
  • Assists with student activities, fundraisers, school photos, and special events.
  • Operates office equipment and performs record retention and shredding in accordance with audit readiness.
  • Submits IT, facilities, and maintenance requests using district systems.
  • Assists with EMIS data input and verification.
  • Prepares and distributes communications to staff and families, including letters, reports, and newsletters.
  • Maintains building webpages and social media content as assigned.
