About The Position

The Brokerage Administrator provides a broad range of administrative assistance to Sales Agents and the Operations Manager. This role is responsible for expediting all transactional work relating to the listing and sales of commercial real estate, training of new Agents and other personnel on company applications and software programs, as well as the performing of various administrative and marketing tasks related to the commercial real estate brokerage.

Requirements

  • Two (2) years of administrative experience.
  • High School diploma required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Strong editing and proofreading skills.
  • Typing speed of at least forty-five (45) words per minute (WPM).
  • Professional appearance and demeanor.
  • Excellent phone etiquette.
  • Dependable, punctual, and professional.
  • Friendly and proactive attitude with a willingness to learn.
  • Demonstrated interest in adopting new software tools and exploring technical solutions to enhance office efficiency and workflows.

Nice To Haves

  • Prior experience in real estate is helpful.
  • Background in banking, finance, or legal office environments preferred.
  • Knowledge of Adobe InDesign is a strong plus.

Responsibilities

  • Process new listings, including proofing and editing marketing packages for superior quality and use of grammar.

  • Assist with the processing of sold and closed transactions as needed.
  • Stay current with company applications, software tools, and policies relevant to Agents and Assistants; identify and coordinate training opportunities when appropriate.
  • Create professional marketing materials for agents, including postcards and flyers.
  • Perform administrative tasks such as copying, scanning, proposal binding, and print production.
  • Share front desk and telephone responsibilities with other support staff.
  • Assist with inventory management, maintaining office equipment, and general troubleshooting.
  • May perform other duties as assigned.
