THE ROLE: Branch Operations Specialist (BOS) will be responsible for supporting varied and complex business processes to support sales and branch operations ensuring that customer contracts, billing, invoicing, inventory management and controls and issues of any administrative and contractual nature are resolved in a timely fashion. This role will support multiple and varied business units to ensure proper documentation, payment and resolution of customer relationship. This role uses critical thinking and problem solving skills to resolve contractual and procedural customer issues that are complex and unique in nature. This role will also encompass the following Able to perform non-routine complex tasks (purchase orders, contracts, inventory management) related to customer processes, such as but not limited to preparation of repair / rental / PMA (Preventative Maintenance Agreements ) quotation’s, execution of these for order processing, invoicing and contract management Ability to create orders for quoted jobs or installation with multiple processes in STEEB and later SAP, with increasing complexity, including minor project management Locating and coordinating equipment into and from the branch as required Warranty coordination for repairs Coordination and recording of Training requirements of the team Ability to document complex tasks into process flows and build processes to address unique customer problems Assists with training others in their process teams Strong collaboration with internal and external customers Located on-site, for support relating to branch needs, working in strong collaboration with Branch Manager, Service Manager and Field Service Supervisor Understands all aspects of their process and the impacts of their tasks on that process and can apply problem solving skills to address unique customer issues that may require processing outside of traditional, standard applications Participates in project-based work in addition to day-to-day responsibilities – as and when required Resolves issues from 3rd party processer of customers orders of increasing complexity requiring input from multiple stakeholders (operations, sales, AR, buyers) Required to handle contract renewals and contract maintenance or changes of more complex configuration or change of purchase order, including blanket orders. Account maintenance / creation of Vendors and New Customers May assist with special permitting needs for customer site visits and projects Heavy collaboration with buyers, warehouses and branches in maintaining appropriate inventory, generates purchase orders – applicable for regular and Rental Inventory

Requirements

  • High school diploma or equivalent plus 5 years of applicable work experience or Bachelor’s degree with 3 years of applicable work experience
  • Intra-departmental communication for purpose of alignment/information sharing/guidance/leadership
  • Able to execute tasks with high levels of autonomy; limited guidance required for complex tasks
  • Able to collaborate with other disciplines
  • Ability to understand concepts in execution, broader organizational impact, and strong organization skills
  • Understanding of general business concepts
  • Strong communication skills
  • Solid User of standard Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
  • Strong ERP fluency in relevant systems
  • Strong understanding of typical IT business tools; adapt at learning new programs quickly (e.g. homegrown IT solutions but also new cutting-edge tools like Data Analytics)
  • Fluency in a Field Service and CRM application such as Salesforce
