About The Position

The Branch Administrator provides branch-level administrative and operational support to ensure the office runs smoothly and professionally. The role focuses on front desk coverage, office operations, and coordination support for branch activities, helping maintain an organized, client-ready, and compliant branch environment in partnership with branch leadership.

Requirements

  • Administrative or front desk experience in an office environment
  • Strong organizational and multitasking skills
  • Clear written and verbal communication skills
  • Ability to manage multiple tasks and follow established processes and guidelines
  • Proficiency in Microsoft Outlook, Word, and Excel
  • Comfort working in a regulated and structured environment
  • High School diploma or equivalent

  • Prior administrative, front desk, or office support experience preferred

Responsibilities

  • Serve as the primary point of contact for the branch during business hours, including answering inbound calls and greeting clients and visitors
  • Maintain lobby flow and ensure client facing and common areas are professional, organized, and client ready
  • Manage inbound and outbound mail, deliveries, and general office logistics
  • Submit, track, and follow up on facilities, maintenance, and service requests
  • Coordinate with property management and vendors for office related needs
  • Maintain office supply inventory and ensure timely ordering and replenishment
  • Support workspace setup and basic office moves as directed
  • Partner with branch leadership to support Financial Professional recruiting efforts by coordinating meetings, facilitating communication, and supporting execution of recruiting activities
  • Manage onboarding logistics for new advisors and branch staff, including branch access, workspace setup, and equipment readiness
  • Coordinate with internal stakeholders to support a timely, compliant, and consistent onboarding experience as new team members transition into the organization
  • Support planning and coordination of branch events, meetings, and recruiting or client engagement activities
  • Assist with event logistics, scheduling, materials, and onsite coordination as needed
  • Coordinate with approved vendors related to branch events and marketing activities following established processes
  • Support basic social media and marketing coordination, including distributing or posting pre approved content where permitted
  • Provide administrative and scheduling support to the Branch Manager as needed
  • Maintain branch administrative records, documentation, and files
  • Support branch communications and follow up on administrative and operational items
