Requirements

  • High School Diploma required
  • Post secondary education preferred in Administration and/or Business Management
  • 3-5 years administration experience, sales experience an asset
  • Proficient with MS Office (Excel, Outlook, Word, PowerPoint)
  • Exceptional organization skills with the ability to effectively multitask
  • Attention to detail is critical
  • Experience with ERP system

Responsibilities

  • Answering phones, filing, mail, ordering supplies, and office equipment maintenance
  • Administering and processing required documentation for reel returns / maintenance
  • Reviewing and troubleshooting problems with support of management on daily branch activities including sales, margin dollars, rebates, special pricing, returns, A/R and A/P, warehouse and inventory
  • Process customer payments under direction of Head Office A/R department
  • Processing daily invoicing
  • Processing credits, debits, assisting with freight claims
  • Overseeing the correct flow and accuracy of documentation from customer order entry through to invoicing
  • Responding to customer service and customer complaints
  • Preparing outgoing mail and correspondence including e-mail and fax
  • Creating and maintaining spreadsheets
  • Quote entry and order entry as requested
  • Preparing expense reports
  • Organizing meetings (catering, booking rooms, etc.)
  • Assisting with Inventory control for promotional incentives
  • Liaising with customers/clients
  • Processing cash sales payments
  • Back-up invoicing & exception follow up
  • Special event co-ordination such as anniversary and birthday acknowledgements (internal and external customers)
  • Act as a back up for customer services & sales department
  • Other duties as required
