About The Position

The Branch Administrative Support role is primarily responsible for operating a multiline telephone system to answer incoming calls and directs callers to the appropriate personnel. This role greets visitors and determines the nature of their business. It is responsible for performing the administrative functions required for the commercial division office. General accounting questions of the branch may also be directed to this person.

Requirements

  • High School diploma or GED equivalent required.
  • Two years of relevant experience, or any combination of education and experience that demonstrates the ability to perform essential duties and responsibilities.
  • Intermediate experience with MS Office including Word, Excel and Outlook.
  • Familiarity with office machines (e.g. fax, printer etc.).
  • Must be customer-oriented and motivated with excellent oral and written communication skills.
  • Strong communication skills are critical as this position is in constant contact with both customers and other employees located at all branches and departments of the company.
  • Strong organizational skills, and ability to prioritize and manage multiple tasks under time constraints and strict deadlines.
  • Ability to pass background check and drug screen.
  • Ability to effectively communicate with customers and staff to make an accurate assessment of customer needs.
  • Ability to perform mathematical calculations required to accurately complete assigned tasks.
  • Intermediate level knowledge of Word Processing software and Spreadsheet software.
  • Ability to interpret a variety of instructions furnished in oral or written form.
  • Ability to use sound judgment and problem-solving skills.

Nice To Haves

  • Experience with Infor M3 a plus.

Responsibilities

  • Answers incoming telephone calls in a professional manner, determines the purpose of callers, and forwards calls to the appropriate personnel or department.
  • Receives, sorts, and routes mail.
  • Coordinates schedules for the conference room.
  • Performs other clerical duties as needed, such as filing, photocopying, collating, etc.
  • Monitors office supplies and places orders when necessary.
  • Maintains the office in an organized and professional manner.
  • Prepares edit reports for the branch operation manager to review.
  • Prints and mails invoices.
  • Resolves, reconciles, and prepares the deposit for cash and credit card sales.
  • Receives purchase orders into the computer system.
  • Resolves receiving discrepancies and reports them to the A/P department.
  • Prepares deposits for money received for payment on account and faxes this information to the A/R department.
  • Prints negative on-hand report for the branch operation manager to review (at least weekly).
  • Prints open order report for the branch operation manager to review (at least monthly).
  • Prints open transfer report for the branch operation manager to review.
  • Assists in researching pick tickets as needed by audits.
  • Places and works open warranty tickets.
  • Works accounts payable bucket and creates purchase orders.
  • Assists with backorders, aged orders, and non-stock inventory.
