About The Position

The Administrative Assistant serves as a key operational and administrative partner for a busy branch office, providing comprehensive support to branch leadership, employees, and regional executives. This role is responsible for coordinating day-to-day office operations, managing administrative processes, supporting onboarding activities, planning employee engagement events, and ensuring the branch maintains an organized and professional work environment. The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced setting. This position requires strong communication skills, exceptional customer service, and the ability to work collaboratively across various departments while maintaining confidentiality and professionalism.

Requirements

  • High school diploma or equivalent required; Associate's degree preferred.
  • 2+ years of administrative, office coordination, executive support, or related experience.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Experience coordinating meetings, events, employee engagement activities, or office programs.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to handle confidential and sensitive information with discretion.
  • Demonstrated ability to work independently and take initiative in solving problems.
  • Strong interpersonal skills with a customer service-oriented approach.
  • Ability to collaborate effectively with leadership, cross-functional teams, vendors, and external partners.
  • Reliable attendance and ability to work onsite Monday through Friday from 8:00 AM to 5:00 PM.
  • Comfortable working in a dynamic environment while adapting to changing priorities and business needs.

Responsibilities

  • Provide administrative support for branch leadership and employees, serving as a central point of coordination for office operations and administrative needs.
  • Support branch management with approval-related processes, documentation, and administrative tracking.
  • Coordinate and execute branch events, meetings, employee gatherings, and celebrations, including ordering food, supplies, and event materials.
  • Process, track, and maintain disclosures and other required documentation while ensuring accuracy and compliance with established procedures.
  • Manage office supply inventory, place orders as needed, and maintain appropriate stock levels to support daily operations.
  • Process loan cancellations and ensure all required cancellations are completed by established daily deadlines.
  • Coordinate closing gifts, food orders, and related logistics for loan closings and client appreciation activities.
  • Maintain branch communication boards and organize content, announcements, and employee recognition materials.
  • Update and publish monthly employee communications, including the branch "Word of the Month" initiative.
  • Facilitate new hire onboarding activities, including questionnaires, welcome gifts, workspace and equipment coordination, and 90-day onboarding milestones.
  • Manage and process FedEx outbound and return shipments, ensuring timely tracking and delivery of equipment and materials.
  • Monitor branch expenses and submit receipts, invoices, and supporting documentation for reimbursement and payment processing.
  • Issue checks to clients, vendors, and other authorized recipients in accordance with company procedures.
  • Provide administrative support for BDAP-related functions and special initiatives.
  • Coordinate conference room reservations with property management partners to prevent scheduling conflicts and ensure meeting space availability.
  • Maintain and replenish postage funds while managing the branch mail and postage system.
  • Coordinate employee recognition programs, including birthday celebrations, work anniversaries, gifts, and appreciation activities.
  • Provide administrative support to regional executives, assisting with special projects, reporting, scheduling coordination, and ad hoc requests.
  • Maintain a welcoming, professional, and organized office environment while serving as a resource for employees and visitors.
