About The Position

This is a volunteer position and any amount of time is appreciated. The Booth Volunteer Shift Scheduler plays a key logistical role in ensuring that our community event booths are staffed. This person will manage the scheduling of volunteer shifts before the event, serve as the point of contact for any scheduling questions, and help ensure volunteers are confirmed and reminded of their assignments.

Requirements

  • Organized and detail oriented.
  • Strong communication and interpersonal skills.
  • Comfortable using scheduling tools such as spreadsheets or volunteer platforms.
  • Willingness to learn and use volunteer management software.
  • Ability to stay calm and flexible in case of last-minute changes.

Nice To Haves

  • Experience with community events or volunteer coordination is a plus.

Responsibilities

  • Coordinate with the Event Lead to determine booth coverage needs.
  • Use volunteer software to post opportunities and manage sign-ups.
  • Communicate with volunteers to confirm availability and assign shifts based on preferences and needs.
  • Send shift confirmations and reminders to volunteers via email, phone, or text, if needed.
  • Update the schedule in real-time if there are last-minute cancellations or changes.
  • Prepare and bring a printed or digital copy of the schedule to the event for on-site reference.
  • Serve as the on-site or remote point of contact for any scheduling concerns.
