About The Position

Schedule and book a variety of patient appointments, follow-up visits, tests, treatments, and referrals for all patients within the Shirley and Jim Fielding Northeast Cancer Centre (SJFNECC). This role operates under the general direction of the Manager, Bookings and Chart Preparation.

Requirements

  • Minimum of a one (1) year Diploma in a Medical Office Administration or related field from an accredited college.
  • Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.
  • Demonstrated knowledge of and proficiency in Medical Terminology.
  • Demonstrated ability to accurately type a minimum of 50 words per minute.
  • Demonstrated proficiency in data entry.
  • Demonstrated computer skills with advanced proficiency in Microsoft Office software (e.g. Word, Excel, Power Point and Outlook), Mosaiq and application patient information systems.
  • Demonstrated ability to effectively interact and communicate with patients, families, and healthcare workers.
  • Demonstrated interpersonal and communication skills.
  • Demonstrated ability to prioritize tasks.
  • Demonstrated compliance with HSN’s privacy policy.
  • Demonstrated commitment to the safety of co-workers and patients.

Responsibilities

  • Review incoming referrals for new patients and book appointments according to Ontario Health – Cancer Care Ontario (OH-CCO) and SJFNECC guidelines.
  • Book all return follow-up appointments for patients, both locally and at peripheral clinics.
  • Book chemotherapy and radiation treatments as per SJFNECC guidelines.
  • Contact patients by phone or mail regarding appointments and procedures.
  • Provide patients with written details of appointment dates, times, and locations, along with necessary requisitions and explanations.
  • Fax requisitions to the appropriate departments and to North Eastern Ontario hospitals, clinics, and care providers.
  • Re-book and restrict physician clinics as required.
  • Process cancellations and appointment changes efficiently and effectively, and advise nursing staff as needed.
  • Request all required information from physicians’ offices, health care facilities, and various Electronic Medical Records (EMR) systems to ensure all documentation is included to facilitate appointments/consultations.
  • Maintain appointment calendars for designated physicians and other designated health care professionals.
  • Maintain and print daily schedules that integrate activities from various sites.
  • Arrange and maintain schedules to meet changing demands and requests.
  • Enter data into a computerized system and update statistics on patient attendance.
  • Arrange patient transportation as required.
  • Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards, and guidelines.
  • Contribute to learner development by providing academic support, mentorship, preceptorship, and supervision as required.
  • Participate in hospital training as required.
  • Assist with improvement initiatives as required.
  • Perform other duties as required.
