About The Position

Jim Pattison Collision & Glass has a new opportunity for a reliable, organized, and customer-focused Body Shop Administrative Assistant to join our team. This role is the first point of contact for customers and plays an important part in creating a positive experience throughout the repair process. The successful candidate will provide front office support, manage customer communications, coordinate appointments, and assist with daily administrative tasks in a busy collision repair environment. Schedule: This is a full-time, permanent position offering 40 hours per week. The regular schedule is Monday to Friday, 8:00 a.m. to 5:00 p.m., with a one-hour unpaid lunch break. Requirements

  • AR and AP experience required.
  • High level of proficiency in Microsoft Office Applications (Word, Excel, Outlook).
  • Excellent customer service skills with positive and courteous telephone etiquette.
  • Excellent verbal and written communication skills.
  • Ability to interact professionally with both co-workers and our guests.
  • Ability to work independently while supporting a team environment.
  • This role requires successful candidates to submit a satisfactory Criminal Record Check.

  • Previous experience in an administrative, receptionist, customer service, or automotive-related role is an asset
  • Ability to work well in a team and on own initiative.
  • Ability to multi-task and keep organized in a timely manner.
  • Strong communication and interpersonal skills.

  • Dealership experience is considered an asset.

Responsibilities

  • Verifying and processing all invoices and obtaining the appropriate authorizations for payment.
  • Reconciling the statements of account and the ledger and ensuring that payments take place within dealership time frames.
  • Participating in the monthly closing of accounts.
  • Preparing deposits and completing a deposit spreadsheet, on a daily basis.
  • Reconciling the statements of account and seeing to any necessary collection.
  • Welcome customers and provide a friendly, professional first impression.
  • Answer and manage incoming phone calls, emails, and customer inquiries.
  • Schedule and coordinate customer appointments, vehicle drop-offs, and pick-ups.
  • Assist customers with general questions and provide updates as required.
  • Maintain accurate customer information and repair-related documentation.
  • Support estimators, managers, and technicians with administrative tasks.
  • Prepare and organize paperwork, files, and internal documents.
  • Assist with insurance-related documentation and customer communications.
  • Monitor incoming and outgoing correspondence.
  • Maintain an organized and efficient front office environment.
  • Handle confidential customer and company information with professionalism.
