About The Position

The Birth Certificate Specialist is responsible for processing birth certificates for newborn encounters within 5 days as required by the state of Florida. This role involves monitoring the OB census to ensure required turnaround times are met per Florida Statutes, collaborating with nursing staff to resolve any Protected Health Information (PHI) discrepancies for state intake forms, and overcoming language or other barriers to ensure timely and accurate filing of birth certificates. The specialist will also issue paternal documentation for birth certificate creation to parents to ensure signature requirements are met, coordinate with the Home Safe program liaison for enrollment into the Healthy Start program for eligible individuals, and ensure consent and documentation are obtained per State requirements. Additionally, the role involves coordinating with the nursing team for newborn discharge to ensure tracking boards reflect the completion of birth certificate processing and coordinating with the financial team for the proper billing of surrogate cases. The specialist will report urgent issues to the OB Manager/Director and provide weekly turnaround time (TAT) reports for compliance monitoring. Other duties as assigned.

Requirements

  • High school graduate or equivalent
  • Birth Registrar credentials with State of Florida Vital Statistics obtained within first month of hire.
  • BLS certification through the American Heart Association for Healthcare Providers.
  • Strong analytic, and computer skills.
  • Good communication and organizational skills.

Nice To Haves

  • Previous experience and/or Birth Registrar credentials preferred
  • Experience with Electronic Medical Record systems preferred.
  • Strong knowledge Excel preferred
  • Knowledge of Florida Statutes, HIPAA HiTech, and other laws and regulations preferred.

Responsibilities
