This position is located in Memphis, TN - As Billing Specialist you will oversee the billing and invoicing processes for intermodal transportation services, ensuring accuracy, timeliness, and compliance with contractual agreements and regulatory requirements. You will manage a team of billing specialists or coordinators, provide guidance on billing procedures, and collaborate with internal departments to streamline financial transactions related to freight transportation. This position is required to be on-site daily in the Memphis, TN office location.

Requirements

• Proven experience in billing, invoicing, or financial operations within the transportation, logistics, or intermodal industry.
• Strong understanding of billing processes, financial transactions, and revenue recognition
• Proficiency in billing software, ERP systems, and Microsoft Office Suite (Excel, Word, Outlook).
• Excellent communication skills, both verbal and written, with the ability to interact professionally with customers, vendors, and internal
• Analytical mindset and attention to detail to ensure accuracy in billing data and financial
• Bachelor's degree in accounting, finance, business administration. or 3 years of experience in related field
• 1+ years of industry experience.
• Experience in Microsoft Word, Excel, and Outlook.
• Diligence with a high degree of accuracy.
• A positive attitude, willingness to learn
• Intermodal Knowledge and experience
• Ability to absorb new ideas and concepts quickly through written and verbal form.
• Problem-solving and multitasking skills with a customer-oriented attitude.
• Excellent communication skills with proven ability to communicate effectively in both written and oral form.

Nice To Haves

• Experience with Profit Tools software preferred
• Coursework or training in billing and invoicing practices would be a strong asset
• Experience Profit Tools is a plus (transportation management system)
• Intermodal Trucking experience (Dispatch / Customer Service)
• Knowledge of Intermodal Equipment, Rail & Steamship Line fundamentals.
• Experience working in a Company Driver and/or Owner Operator environment

Responsibilities

• Oversee the preparation and issuance of invoices for intermodal shipments, ensuring accuracy in billing rates, charges, and customer information.
• Audit and analyze freight documentation, including bills of lading, shipping manifests, invoices, and customs documentation, to ensure accuracy and completeness.
• Monitor billing cycles and deadlines to ensure timely submission of invoices and compliance with customer billing requirements.
• Implement quality control measures to review and verify billing data, ensuring adherence to pricing agreements, contractual terms, and regulatory
• Conduct audits of billing records, resolve discrepancies, and implement corrective actions to maintain accuracy in financial transactions.
• Ensure compliance with federal, state, and local tax regulations, as well as industry-specific billing standards and best practices
• Serve as a primary point of contact for customer inquiries regarding billing issues, discrepancies, or payment inquiries.
• Collaborate with sales, customer service, and operations teams to address customer concerns and resolve billing-related disputes
• Maintain positive relationships with vendors, carriers, and third-party service providers regarding billing inquiries and payment processing.
• Identify opportunities for process improvement and automation in billing procedures to enhance efficiency and reduce errors.
• Develop and implement best practices, standard operating procedures (SOPs), and training programs for the billing team to optimize workflow and
• Utilize billing software and enterprise resource planning (ERP) systems to streamline data entry, invoicing, and reporting tasks.
• Generate and analyze billing reports, financial statements, and key performance indicators (KPIs) to monitor billing performance and identify
• Provide regular updates and insights to management regarding billing metrics, revenue recognition, and cash flow projection
• Support financial audits and compliance reviews by preparing documentation and responding to auditor inquiries.
