About The Position

Job Duck is seeking a highly organized and proactive professional to join as an Executive Assistant with a strong client services focus. In this role, you will serve as a key bridge between the firm and its clients, ensuring smooth communication, accurate billing, and seamless administrative support across daily operations. You will play a vital part in enhancing client experience by maintaining regular contact, managing case-related updates, and supporting onboarding and documentation processes. This position is ideal for someone who thrives in a fast-paced legal environment, enjoys taking initiative, and is comfortable balancing multiple responsibilities with professionalism and attention to detail. Your contributions will directly support the firm’s efficiency, allowing legal professionals to focus on strategic work while you ensure operational excellence.

  • Location: Remote
  • Timezone: EST (Boston)
  • Schedule: 08:00 a.m. to 04:00 p.m. EST
  • Legal background preferred but not required
  • Experience in client communication and administrative support required
  • Strong ability to manage billing processes and track billable time
  • Comfortable handling client interactions via phone, email, and CRM systems
  • Proficiency in legal or case management software is highly valued

Responsibilities

  • Upload and manage information within MyCase and other systems
  • File legal documents and manage document workflows
  • Support case management and maintain organized records
  • Answer and return client calls professionally
  • Handle billing processes and accurately capture billing entries
  • Track and capture billable time, including time spent on calls
  • Schedule appointments and maintain calendar entries
  • Request and manage client reviews (Google reviews)
  • Communicate with clients regarding case updates and follow-ups
  • Draft legal documents and motions (if qualified)
  • Collect retainers and assist with obtaining signed agreements
  • Assist with general administrative and operational tasks
