Bilingualism is required as this is a collaborative role at a national level, and the candidate will have to handle and follow up on various requests from customers and third parties who understand and communicate only in English. This position also requires the candidate to be able to interact fluidly with colleagues in our offices across Canada, where English is the predominant language. As we estimate that more than 60% of the work required by this position must be carried out in English, and to ensure that the employee who will occupy this position can carry out his or her tasks independently and effectively, candidates for this position must be able to communicate adequately in French and English, both orally and in writing. We are recruiting for a Specialist, Disability & Leave Management to join our team in our Montreal office. The successful candidate must have a minimum of 5 years of experience in leave management and accommodation and will be responsible for the timely management, throughout the Firm, of leaves and accommodation programs for employees and lawyers.

Requirements

  • Bachelor's degree in administration or human resources, or other equivalent education relevant to the role.
  • Bilingualism (English and French) both spoken and written is required.
  • Minimum five years of experience in a similar position linked to leave management and accommodations.
  • Proficiency in Microsoft Office suite software, including Excel.
  • Knowledge of Canadian laws, regulations, and programs related to benefits.

Responsibilities

  • Managing Disability Leaves and Accommodations throughout the Firm. Acting as the main contact for our firm members and for our providers regarding any information related to our benefits programs related to leaves of absence and accommodations.
  • Administer and coordinate end-to-end employee short-term and long-term disability leaves and accommodation requests, including return-to-work planning and reintegration.
  • Support firm members through all stages of disability leaves and accommodations by providing program and benefit information and collecting required details to ensure seamless transitions.
  • Provide third-party vendors and insurance carriers with the documentation, information, and support required to assess and manage disability claims and accommodation requests.
  • Ensure all leave and accommodation related communications and documentation are securely stored in compliance with privacy and organizational requirements.
  • Ensure accommodation requests are handled in compliance with applicable legislation and firm policies.
  • Track leave and accommodation dates, statuses, and return-to-work timelines in HR systems (Service Now, Workday) and other file trackers, and take appropriate action as required.
  • Coordinate with payroll to ensure accurate leave payments and benefit adjustments.
  • Act as a liaison between firm members, managers, internal stakeholders, and third-party providers to facilitate return-to-work reintegration and appropriate workplace accommodations.
  • Provide subject matter expertise on disability and accommodation processes while identifying opportunities to improve firm member and leader experience.
  • Maintain data integrity and confidentiality throughout the leave and accommodation process.
  • Managing maternity, parental, family caregiver and compassionate care leaves across the Firm. Acting as the main contact for our firm members and relevant stakeholders regarding any related requests, in accordance with the Firm’s applicable Policies.
  • Administer maternity, parental, family caregiver, and compassionate care leaves.
  • Support firm members through all stages of these leaves by providing program and benefit information and collecting required details to ensure seamless transitions.
  • Oversee and calculate leave top-up payments (maternity, parental, family caregiver, and compassionate care) and coordinate with payroll to ensure accuracy of payments and benefit adjustments.
  • Liaise with firm members, managers, payroll, benefits providers, and external stakeholders to facilitate communication and information flow related to leave management.
  • Monitor leave timelines and return-to-work dates in HR systems (Service Now, Workday) and other trackers while supporting effective employee reintegration.
