About The Position

The Office Administrator is responsible for the day-to-day administration and hospitality of the Suvida Houston administrative office, providing calendar, correspondence, and light travel support to the Market President and other Houston-based leaders. This role requires a professional, detail-oriented individual who can manage multiple priorities in a fast-paced, in-person office environment.

Requirements

  • High school diploma or equivalent required
  • Previous experience in an office administration, reception, or executive assistant role preferred.
  • Excellent customer service skills with a professional, welcoming manner toward visitors and staff.
  • Strong organizational skills, attention to detail, and ability to multitask and manage time effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team, with professionalism and confidentiality.

Nice To Haves

  • Bachelor’s degree preferred
  • Bilingual in English and Spanish highly preferred

Responsibilities

  • Schedule onsite meetings, reserve conference rooms, and prepare meeting invitations and calendar appointments.
  • Support calendar and light travel coordination for the Market President and other Houston office leaders as needed.
  • Draft routine correspondence, emails, and internal communications.
  • Prepare meeting packets and basic presentation materials.
  • Maintain filing systems, records, and office documentation, including scanning, copying, and organizing documents.
  • Perform data entry and maintain administrative databases.
  • Monitor shared office email inboxes and route items to the appropriate owner.
  • Greet visitors, employees, vendors, and guests in a professional and welcoming manner.
  • Order and maintain office supplies, and coordinate copier, printer, and other office equipment requests with vendors.
  • Coordinate office hospitality for meetings, including refreshments, room setup, and cleanup.
  • Manage office snack ordering and keep supplies neatly stocked.
  • Receive and distribute mail and deliveries.
  • Maintain reception, kitchen, and other common areas in a clean and organized manner.
  • Coordinate visitor parking and building access as needed.
  • Support special projects and department administrative needs as assigned.
  • Perform other duties as assigned.
