About The Position

The Bilingual Medical Support Assistant is a non-clinical medical administrative assistant who speaks fluent Spanish and English and provides surgical scheduling support while traveling between our Tampa and Safety Harbor, Florida locations with an assigned Physician. This role also travels to St. Petersburg every first and third Friday of each month. Maintains effective and organized systems to ensure efficient surgical schedules, appointment scheduling, and timely patient flow. Provides a smooth and pleasant patient experience and ensures physician’s clinic and surgical schedules are organized and accurate. This is a two-part administrative role.

Requirements

  • High School Diploma
  • Fluent Bilingual English/Spanish abilities (accurate verbal and written translations required)
  • Ability to effectively understand, follow, and communicate oral and written instructions in English. Must read, write, and speak English fluently to ensure clear work-related communication and patient safety
  • Translates patient discussions between Spanish and English-speaking patients, physicians, and clinical staff as authorized by HIPAA
  • Proficient in Microsoft Suite, AllScripts EHR, Adobe, and Dropbox
  • Able to reliably travel between Tampa, Safety Harbor, and St. Petersburg offices as clinic schedule dictates
  • Provides superior patient/customer service, and practices professional telephone etiquette and interpersonal skills
  • Remains calm under pressure and manages time efficiently in a fast-paced, constantly changing environment
  • Exudes a sense of urgency while remaining personable, collaborative, and cooperative

Nice To Haves

  • Associates degree minimum in healthcare preferred
  • Minimum 2 (two) years related experience working in an orthopedic spine practice, pain management center, chiropractic clinic, or hospital preferred
  • Minimum of 2 (two) years surgical scheduling experience, including insurance preauthorization and patient data collection – preferably in an orthopedic spine or similar practice
  • Highly organized, multitasks with a sense of urgency, utilizes good judgment, and possesses strong problem-solving skills

Responsibilities

  • Coordinates Physician’s office schedule to maximize efficiency between clinics, meetings, and conference calls and administratively assists to keep Provider on task.
  • Communicates effectively in English and Spanish and flexibly responds to changing demands to ensure smooth workflow and continuity of appointments.
  • Triages telephone messages and returns calls to provide prompt answers to patients, physicians, pharmacies, attorneys, etc.
  • Completes FMLA, Disability, and Handicap Parking Permit documentation.
  • Collaborates effectively with coworkers, management, patients, visitors, and physicians to achieve Practice goals.
  • Rooms, interviews, and transports patients making appointment and scheduling adjustments as required.
  • Addresses scheduling, authorization, and billing issues with an appropriate sense of urgency to ensure timely and successful resolutions.
  • Performs other non-clinical duties as directed or assigned.
  • Coordinates and schedules surgeries, procedures, and follow up appointments as designated by physicians to meet timing, physician, and facility requirements.
  • Sets up arrangements for special equipment and surgical materials for weekly surgery schedule.
  • Provides patients with generic preoperative information sheets and advises patients of preoperative surgical requirements.
  • Obtains accurate information from patients and ensures all registration and release forms are completed.
  • Executes all patient documents as required for each procedure and facility.
  • Maintains files and patient records in a confidential manner consistent with HIPAA rules.
