About The Position

Under the general supervision of the Director of Human Resources, this role supports activities associated with the human resources department, addressing administrative needs and ensuring compliance with HR and payroll regulations. The Bilingual HR Specialist will maintain accurate records, administer employee systems, process personnel actions, and support employee understanding of HR policies and procedures.

Requirements

  • Ability to work well with others.
  • Ability to communicate effectively both written and orally.
  • Ability to effectively shift back and forth between 2 or more activities or sources of information.
  • Knowledge of use of a wide variety of measuring instruments and experience with Microsoft Office, Word, Excel, etc.
  • 1-3 years in human resources, industrial relation or a related field.
  • 1-2 years experience in a manufacturing environment.
  • Ability to effectively read, write and communicate in English.
  • Must be able to communicate effectively as indicated by the need of the audience.
  • Communicates with internal and external customers to resolve all issues or problems which require resourcefulness, tact and discretion.
  • Applies broad knowledge of Human Resource regulations and policies when communicating with individuals outside the immediate work area/department.
  • Able to apply mathematical concepts such as percentages, ratios, fractions and proportions.
  • Ability to apply general knowledge of Human Resource regulations and policies to analyze and resolve problems.

Nice To Haves

  • Ability to communicate in Spanish is preferred but not required.

Responsibilities

  • Maintain accurate, current, and compliant HR and payroll forms; ensure all documents are properly stocked, updated, and organized.
  • Administer the employee identification badge system, including issuance, replacement, and access coordination.
  • Create, audit, and maintain new hire personnel files to ensure payroll, benefits, and compliance documentation is complete prior to filing.
  • Process all termination paperwork timely and accurately, including retrieval and purging of I-9 documentation in accordance with retention requirements.
  • Enter and maintain all payroll-related employee data in the payroll system, including W-4 changes, address updates, and direct deposit information.
  • Manage time and attendance data for each payroll cycle, including reviewing, correcting, and approving missed punches and time-off requests.
  • Train employees on timekeeping systems, ESS functionality, and payroll-related self-service processes.
  • Monitor attendance point systems and disciplinary actions; ensure accurate tracking, documentation, and timely closure within the system.
  • Scan, upload, and maintain disciplinary documentation and close related actions in the attendance/point tracking system.
  • Prepare and distribute monthly insurance enrollment packets for new hires and coordinate timely submission to carriers.
  • Reconcile monthly insurance invoices to payroll and enrollment records; identify discrepancies and coordinate corrections as needed.
  • Maintain employee personnel files in compliance with company policy and legal recordkeeping requirements.
  • Serve as point of contact for vending machine issues and coordinate resolution with external vendors.
  • Order and manage office supplies for the Human Resources department, ensuring uninterrupted payroll and HR operations.
  • Translate HR and payroll-related documents as needed to support employee understanding and compliance.
  • Maintain required postings and communications on employee bulletin boards in accordance with labor law requirements.
  • Process and respond to employment verification requests accurately and within required timelines.
  • Other duties as assigned.
