This is a fully on-site position based in Morris Plains, New Jersey. The Executive Assistant to the CEO will serve as a strategic operational partner responsible for creating structure, organization, prioritization, and follow-through in a fast-paced executive environment. This role combines: Executive support High-level coordination Personal assistance Operational follow-through Calendar and stakeholder management Travel logistics Confidential personal support You will be trusted with highly sensitive information and expected to operate with professionalism, discretion, precision, and sound judgment at all times. Requirements

  • 1 year of experience as an Executive Assistant, Personal Assistant, Chief of Staff Assistant, or similar high-responsibility role
  • Experience supporting executives in fast-paced environments strongly preferred
  • Professional or native fluency in both English and Spanish is mandatory
  • Strong command of Google Workspace, Microsoft Office Suite, Slack, and project management systems
  • Strong organizational and written communication skills
  • Exceptional discretion and confidentiality
  • High emotional intelligence and maturity

Responsibilities

  • Manage an extremely dynamic and fast-changing calendar with precision
  • Coordinate meetings, priorities, deadlines, and executive follow-ups
  • Organize communications and ensure timely responses and accountability
  • Track projects, action items, and pending deliverables with a zero-drop mentality
  • Serve as a liaison between the CEO and internal/external stakeholders
  • Coordinate appointments, calls, meetings, and sensitive communications
  • Help protect the CEO’s focus and schedule by prioritizing requests appropriately
  • Coordinate personal appointments, errands, reservations, vendors, and household logistics
  • Assist with family-related scheduling and occasional personal support tasks
  • Anticipate needs and proactively solve logistical problems before they arise
  • Coordinate complex domestic and international travel itineraries
  • Manage flights, accommodations, transportation, reservations, and travel changes efficiently
  • Draft, proofread, translate, and organize documents and communications in English and Spanish
  • Maintain organization systems, calendars, files, reminders, and operational workflows
