About The Position

This is a high-impact administrative and office management role at the center of a company in rapid growth mode. As Executive Assistant to CEO Paul Lichty, you will report directly to the Chief Strategy Officer and serve as the operational hub that keeps the CEO’s world organized and running smoothly. The CSO leads investor relations, public relations, and external communications on Paul’s behalf — your role is to make sure Paul’s time, travel, and whereabouts are managed, the office runs seamlessly, and the broader leadership team stays on track against key deadlines. This role is ideal for a highly organized, proactive professional who thrives on creating order, anticipating needs, and being the reliable person everyone can count on.

Requirements

  • 3–7+ years of experience as an Executive Assistant, Office Manager, or Senior Administrative professional supporting a C-suite executive
  • Demonstrated experience managing office operations, not just executive calendars — you’re comfortable owning the physical and operational environment
  • Hands-on experience with Microsoft SharePoint, including building and maintaining folder structures and managing document permissions
  • Experience tracking executive or cross-functional deliverables and holding stakeholders accountable to deadlines
  • Exceptional organizational skills with strong attention to detail and the ability to manage multiple priorities simultaneously
  • A proactive, self-starter mindset — you anticipate needs before they’re stated and follow through without being asked
  • Strong written and verbal communication skills; comfortable corresponding professionally on behalf of an executive’s office
  • High emotional intelligence and discretion when handling sensitive scheduling, personnel, or business information
  • Proficiency with Microsoft 365 (SharePoint, Teams, Outlook), Zoom, and travel booking platforms
  • Comfortable with ambiguity and able to adapt quickly as priorities shift

Responsibilities

  • Own and manage the CEO’s calendar end-to-end, prioritizing and protecting his time across internal and external commitments
  • Serve as the go-to resource for the internal team to understand the CEO’s availability, location, and schedule — so they never have to ask Paul directly
  • Proactively identify and resolve scheduling conflicts before they reach the CEO’s desk
  • Coordinate recurring meetings, leadership syncs, and board-related scheduling in partnership with the CSO
  • Book and manage all domestic and international travel for the CEO, including flights, hotels, ground transportation, and detailed itineraries
  • Prepare travel briefings so the CEO and internal team always know where he is and how to reach him
  • Handle last-minute changes and travel disruptions with minimal friction
  • Serve as the on-site office manager, ensuring the office environment is organized, well-stocked, and ready for daily operations
  • Coordinate and set up onsite meetings and executive sessions — including room setup, AV, materials, and hospitality logistics
  • Manage relationships with office vendors, facilities contacts, and building management
  • Oversee office supply inventory, equipment, and general upkeep to maintain a professional, functional workspace
  • Greet and host guests, visitors, and executive-level partners visiting the Denver office
  • Own the C-level deliverables calendar, tracking and proactively following up on key deadlines including board presentations, earnings materials, investor updates, and regulatory filings
  • Work closely with the CSO and CEO to ensure leadership team members are on track with their contributions well ahead of board meetings and earnings cycles
  • Coordinate cross-functional inputs for board decks and executive presentations, chasing down slides, data, and approvals from department leads as needed
  • Maintain a forward-looking view of the executive calendar so deadlines never sneak up on the leadership team
  • Flag risks to the CSO when deliverables are at risk of slipping
  • Own and maintain the executive SharePoint environment, including folder structure, permissions, naming conventions, and version control for C-level documents
  • Ensure board materials, earnings presentations, investor decks, and other sensitive documents are organized, current, and accessible to the right stakeholders
  • Establish and enforce document management best practices across the leadership team
  • Support the onboarding of new executives by setting up their document access and SharePoint permissions
  • Act as the central point of contact for internal teams needing access to the CEO’s time or schedule information
  • Coordinate with the CSO’s office to ensure alignment on the CEO’s commitments and priorities
  • Manage expense reporting, vendor coordination, and other administrative tasks that free up the CEO’s bandwidth
  • Handle incoming correspondence and requests directed to the CEO’s office, routing appropriately to the CSO or relevant team members
  • Maintain contact lists, distribution lists, and organizational records for the CEO’s office
  • Support special projects and ad hoc requests as directed by the CSO
