About The Position

We are currently looking for a proactive and detail-oriented Administrative Specialist to join our team on a 6-month contract and support our Canada operations. In this role, you will play a key part in ensuring smooth day-to-day operations by coordinating office activities, supporting document and records management, conducting research, and providing front-desk support. This is an excellent opportunity for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in delivering high-quality administrative support. This role requires full-time on-site presence, with standard hours from 8:00 a.m. to 5:00 p.m. (including a one-hour lunch break). It is a medical leave replacement and may become permanent based on business needs and individual performance.

Requirements

  • 5+ years of administrative or office coordination experience
  • Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Excellent organizational and multitasking skills
  • Excellent verbal and written communication skills in English and French
  • Ability to work independently and manage competing priorities
  • High attention to detail and commitment to accuracy
  • Professionalism and discretion when handling confidential information

Responsibilities

  • Coordinate day-to-day administrative activities, including correspondence, scheduling, and document management
  • Welcome visitors and provide front-desk and reception support
  • Prepare, print, envelope, and dispatch letters by post; coordinate scanning, signing, copying, and binding of documents in line with internal administrative procedures and documentation standards
  • Maintain organized filing systems and support document preparation
  • Conduct research related to estate and property searches and follow up on requests
  • Support claim processes and maintain accurate operational records
  • Assist with invoice processing and administrative finance tasks
  • Provide support across departments to ensure smooth operations
