About The Position

The BHI Coordinator Trainer is a full-time, permanent role within Psych Health Associates’ Behavioral Health Integration program. This position serves a dual function: managing the operational infrastructure that keeps the BHI team running consistently and accurately, and ensuring that all new clinical staff are properly onboarded, trained, and supported through their initial ramp period. The Trainer is the internal subject matter expert for Aarista, BHI documentation standards, NP coordination workflows, and consent compliance, and functions as a coverage resource during staffing transitions and team gaps. This role requires strong organizational skills, deep familiarity with CMS BHI billing requirements, proficiency with Aarista and digital tools, and the ability to work independently within a remote, distributed clinical team. Strong written and verbal communication and strict adherence to PHA’s policies, workflows, and documentation standards are essential.

Requirements

  • Licensed Practical Nurse (LPN) or equivalent clinical or administrative experience in healthcare, behavioral health, care management, or a related patient-facing role.
  • Strong working knowledge of CMS Behavioral Health Integration (BHI) billing requirements, CPT 99484, and 90791 intake documentation standards.
  • Demonstrated proficiency with Aarista or a comparable behavioral health EHR and digital documentation workflows.
  • Experience with NP/PMHNP attestation workflows and note management processes.
  • Exceptional organizational skills with the ability to manage multiple concurrent workflows and high attention to detail.
  • Strong written and verbal communication; professional proficiency with Microsoft Teams, Excel, and scheduling tools.
  • Ability to work independently in a remote-first environment with a distributed clinical team.

Nice To Haves

  • Prior experience in a training, onboarding, or team lead capacity within a behavioral health or healthcare operations environment.
  • Experience in post-acute, skilled nursing, assisted living, or other long-term care settings.
  • Familiarity with PHA-specific workflows, SNF network structure, and the BHCM/BHC team model.
  • Proficiency with Excel-based trackers and operational reporting tools.

Responsibilities

  • Conduct weekly review of BHI Admission Packet consent status across all active facilities; identify and rectify gaps between consents obtained and notes billed.
  • Verify that note completion volumes match consent counts on a per-facility basis and coordinate with designated support staff to resolve discrepancies.
  • Verify that discharged patients have all notes completed prior to record close.
  • Track weekly note completion for BHC and BHCM team members and report progress against program targets.
  • Conduct quarterly quality reviews of documentation for BHC and BHCM staff; provide written feedback and corrective action support as needed.
  • Prepare and submit payroll documentation on a semi-monthly cycle, ensuring accuracy across BHC and BHCM team members.
  • Distribute weekly unsigned note alerts to NPs; flip completed BHI notes to NPs for attestation on a weekly or daily cadence based on volume.
  • Notify NPs of newly assigned BHCs and facility assignments as territory changes occur.
  • Serve as a PRN coverage resource for note backlogs, team PTO, and documentation gaps; complete catch-up notes as assigned.
  • Manage and maintain scheduling for the BHCM team, including regular visit cadences and coverage planning.
  • Approve PTO requests and plan coverage arrangements to maintain clinical continuity across facilities.
  • Maintain remote team assignments and territory-to-clinician mapping across the BHI network.
  • Develop and maintain training schedules for incoming BHCs and BHCMs; deliver BHI program training including the BHI PowerPoint overview, Aarista platform training, and PHA documentation standards.
  • Conduct quality checks on notes submitted by new hires and track caseload completion through the 6-week ramp period, providing weekly status updates to leadership.
  • Coordinate credentialing documentation and workflows for new clinical staff; liaise with internal and external stakeholders to ensure credentialing timelines are met.
  • Create and distribute facility assignment lists to support staff to assist with consent collection, note uploading, and completion tracking as new territories are activated.
