About The Position

This position requires to work in person. The Benefits Coordinator is responsible for managing the Benefits Mailbox, answering and following up on employee emails, and obtaining the appropriate guidance to provide feedback. They will also answer and retrieve voicemails from the Benefits Line. The role involves preparing new hire benefit information packages for orientation and creating letters for Life and LTD policies conversion using mail merge to communicate eligibility. Additionally, the coordinator will create LTD eligibility letters monthly, prepare letters communicating benefit eligibility changes due to status changes, and review Tuition Reimbursement Applications for accuracy and eligibility. Maintaining the Tuition Reimbursement log, assessing employee files for accuracy and completeness before scanning into OneContent, and scanning documents into OneContent with correct indexing are key duties. The position also includes sending terminated files to Iron Mountain on a scheduled basis, ensuring correct labeling and destruction dates, and retrieving files as requested. Establishing processes to manage daily priorities, acting as a guide within the team, demonstrating a positive attitude, communicating effectively, and engaging in honest and ethical conduct are also expected.

Requirements

  • BA/BS in related fields is preferred
  • 2 years of HR experience

Responsibilities

  • Manage the Benefits Mailbox, answering and following up on employee emails and obtaining the appropriate guidance to provide feedback.
  • Answer and retrieve voicemails from the Benefits Line.
  • Prepare new hire benefit information packages for orientation.
  • Prepare and create letters for Life and LTD policies conversion by using mail merge, in order to communicate Life and LTD conversion eligibility.
  • Create LTD eligibility letters on a monthly basis for employees who are newly eligible.
  • Prepare letters communicating to employees any benefit eligibility changes as a result of a recent status change.
  • Review Tuition Reimbursement Applications and supporting documents for accuracy to ensure completeness, verify eligibility requirements, and determine the correct reimbursement amount.
  • Maintain the Tuition Reimbursement log with accurate data.
  • Assess employee files for accuracy and missing documents prior to scanning into OneContent.
  • Scan employee and benefit documents into OneContent and ensure they are indexed correctly.
  • Send scanned employee files/documents and terminated files to Iron Mountain on a scheduled basis and ensure they are labeled correctly and assigned a destruction date as indicated in the Record Retention policy.
  • Retrieve files as requested.
  • Establish processes within the functional area to manage daily priorities and meet the needs of the department.
  • Act as a guide within the respective team.
  • Demonstrate a positive and "can do" and "team work" attitude, with a willingness to assist co-workers in the completion of daily tasks or special projects.
  • Communicate effectively with all parties and follow through on assigned tasks until resolved or completed.
  • Engage in honest and ethical conduct, using reasonable diligence to detect any problems or violations of the organization corporate Compliance Program.
