About The Position

The Benefits Coordinator is responsible for supporting the administration of the organization’s employee benefits programs, including health insurance, retirement plans, wellness initiatives, and leave programs. This role serves as a primary resource for employees regarding benefit questions, assists with enrollment and eligibility processes, maintains accurate records, and helps ensure compliance with applicable laws and company policies. The Benefits Coordinator works closely with the Benefits Manager, payroll, HR, and external vendors to provide efficient and responsive benefits administration.

Requirements

  • Bachelor’s degree in human resources, Business, Legal Studies, International Relations, or related field (or equivalent experience).
  • Three or more years of experience in immigration coordination or global mobility.
  • Demonstrated experience managing H-1B cap season end-to-end.
  • Strong organizational, communication, and project management skills.
  • Ability to handle confidential information with discretion.

  • Knowledge of ACA, COBRA, HIPAA, ERISA, FMLA, and related regulations.
  • Strong problem-solving and issue-resolution skills.

Responsibilities

  • Respond to employee inquiries regarding benefits, eligibility, coverage, claims, and enrollment issues.
  • Administer employee benefits programs, including health, dental, vision, life insurance, retirement plans, and other benefit offerings.
  • Administer employee eligibility for benefit programs, including new hire enrollments, qualifying life events, dependent verification, and ongoing eligibility audits.
  • Process benefit enrollments, changes, and terminations in HRIS and vendor systems.
  • Assist employees with claims resolution by coordinating with insurance carriers and benefits vendors.
  • Support leave administration activities, including tracking eligibility, documentation, and return-to-work requirements.
  • Maintain accurate employee benefits records and ensure data integrity within HRIS and payroll systems.
  • Support annual open enrollment activities, including employee communications, informational materials, and system updates.
  • Prepare reports, audits, reconciliations, and required documentation related to benefits administration.
  • Monitor benefit invoices and assist with monthly billing audits and discrepancy resolution.
  • Ensure compliance with applicable federal, state, and local regulations, including ACA, COBRA, HIPAA, and ERISA requirements.
  • Assist in developing employee communications, educational materials, and benefit presentations.
  • Collaborate with payroll to ensure accurate benefit deductions and reporting.
  • Build and maintain productive relationships with benefit carriers, brokers, third-party administrators, and other vendors to resolve issues and enhance employee service.
  • Support wellness initiatives and employee engagement programs related to benefits.
  • Maintain confidentiality of employee information and sensitive benefit data.
