The HR Assistant plays a key role in supporting our HR operations and overall team success. In this role, you’ll work closely with the Benefits Team while assisting with administrative responsibilities and cross-functional projects that keep our department running smoothly. Requirements

  • Stellar administrative skills and proficiency with the Microsoft Office Suite.
  • Ability to thoroughly proofread, prioritize work, and manage multiple tasks effectively.
  • Strong work ethic, initiative, and drive.
  • Excellent communication skills and the ability to provide professional, employee-facing support.
  • Foundational understanding of federal and state compliance requirements—including ADA, COBRA, and HIPAA.
  • 2–3+ years of experience in employer benefits administration.

Nice To Haves

  • Prior law firm experience is helpful but not required.

Responsibilities

  • Serve as a first point of contact for employees and partners, providing responsive and knowledgeable support.
  • Deliver high-level administrative assistance to multiple members of the Benefits Team while ensuring excellent customer service across the firm.
  • Manage weekly, monthly, and quarterly census filings with various vendors.
  • Reconcile benefits invoices against enrollment data to ensure accuracy.
  • Prepare retirement plan and other benefits-related invoices for payment, including applicable consulting fee invoices.
  • Maintain employee personnel files by scanning, indexing, and safeguarding confidential documents in compliance with firm policies and regulatory requirements.
  • Process mailings related to firm-sponsored benefits programs.
  • Assist with drafting, distributing, and tracking required Benefits Plan compliance notices.
  • Assist with benefits-related audits and filings, including Form 5500 submissions.
  • Organize and maintain confidential employee benefits records.
  • Prepare and send eligibility and enrollment notices—including initial 401(k) plan communications.
  • Contribute to special projects and additional administrative duties as assigned.
