About The Position

The Office Assistant provides front-line administrative support for the Behavioral Health department, including reception, scheduling, obtaining patient vital signs, and maintenance of accurate patient records in the Electronic Health Record (EHR). This role assists with administrative projects and budget tracking, and coordinates with staff, vendors, and community partners to support patient care and departmental operations, as well as assist with obtaining prior authorizations for visits and medications. The Office Assistant also assists with department events, meetings, training, and outreach activities.

Requirements

  • Ability to interpret a variety of instructions provided in written, oral, or schedule form.
  • Excellent organizational and time-management skills.
  • Strong written, oral, interpersonal, and customer service skills.
  • Proven ability to multitask with high attention to detail.
  • Intermediate Word and Excel skills; ability to learn additional systems as needed.
  • Demonstrates ability to work independently, prioritize workload, and take initiative with minimal supervision.
  • Demonstrated self-starter with strong problem-solving skills.
  • Ability to manage and track projects, budgets and administrative processes.
  • Demonstrates understanding of basic medical terminology.
  • Understanding of normal vs abnormal vital sign ranges.
  • Proficiency in using digital and manual equipment (e.g., sphygmomanometer for blood pressure, thermometer, scale) or willingness to train.
  • High School Diploma or equivalent.
  • Three (3) years’ experience in a Health office setting.
  • Three (3) years’ experience with DSM-IV-TR Classification System and Behavioral Heath coding system.
  • Successful candidate must pass the background check in accordance with the Indian Child Protection and Family Violence Prevention Act (ICPA).
  • No felony convictions or misdemeanors involving moral turpitude or issues of integrity.

Nice To Haves

  • Experience in Behavioral Health Clinic setting.
  • Certified Nursing Assistant (CNA) or Medical Assistant (MA).
